How to Manage Dashboard Permissions in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

Each dashboard supports four permission levels — Full, Edit, View, No Access — assignable to Agency User, Account Admin, and Account User. Only owners or Full-access users can change permissions.

Dashboards default to private (creator-only). Open them up by assigning role-level permissions when you create the dashboard or via the action menu later.

Agency Admins always have Full access to non-private dashboards. Only Account Admin or Agency roles with Full access can mark a dashboard as default. Cross-sub-account duplication is Agency-level only.

Set permissions on a new dashboard

  1. Go to Dashboard, click the Dashboard Selection menu, then Add Dashboard.
  2. Choose Create a Blank Dashboard and click Select.
  3. In the New Dashboard modal, leave Private on for solo use, or toggle off and assign role permissions. Click Confirm.

Update permissions on an existing dashboard

  1. On the dashboard, click the 3-dot action menu and choose Manage Permissions.
  2. Toggle Private on/off and adjust role permissions.
  3. Click Save.

Agency vs. account view

The permissions screen changes based on your role. Agency users see three role rows: Agency User, Account Admin, Account User. Account-level users see two: Account Admin and Account User.

Permission hierarchy

Order: Agency Admin > Agency User > Account Admin > Account User. Higher roles override lower. If you downgrade an Account Admin from Edit to View, Account User automatically downgrades to View too — a lower role can't outrank a higher one.

Export data

The Export Data permission separately controls whether a user can pull widget data out of a dashboard. Useful when teams need visibility but admins want to gate downloads.

Frequently Asked Questions

What's the default if I don't set any permissions?
Dashboards default to visible across users in the sub-account. Lock them down by toggling the Private setting or assigning per-role access.
What does "Only Assigned Data" do?
It filters widgets so users only see records (contacts, opportunities, etc.) that are assigned to them — useful for keeping reps in their own books.
How do I revoke a user's access?
Open the dashboard's action menu, click Manage Permissions, then either set their role to No Access or toggle Private on if you want only yourself.
Can someone with Edit access delete the dashboard?
No. Only the owner or someone with Full access can delete or change permissions.
