Use Only Assigned Data with Dashboards in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

Only Assigned Data restricts a team member's dashboards to records assigned to them. Set it in Settings, My Staff, under Data Visibility Scope.

The Only Assigned Data setting in Roles and Permissions limits what each team member sees on dashboards. Once enabled, widgets automatically filter to that user's assigned contacts, opportunities, calls, and appointments.

Why use it

  • Tighter data security — sensitive records stay invisible to users who shouldn't see them.
  • Less manual filtering — widgets auto-scope without each user adding filters.
  • Cleaner dashboards — irrelevant data doesn't clutter the view.

Common use cases

  • Sales teams — reps only see their own leads and opportunities, so pipelines stay clean.
  • Customer success — CSMs see only their assigned accounts, calls, and appointments.

How to enable Only Assigned Data

Step 1 — Open the user's profile

Go to Settings > My Staff. Find the team member and click Edit next to their name.

Step 2 — Set the visibility scope

In the Roles and Permissions section, locate Data Visibility Scope. Open the dropdown and select Only Assigned Data.

Step 3 — Save

Save the profile. The change takes effect immediately for that user.

Heads up

If a dashboard widget has a hardcoded filter for a different team member, users with Only Assigned Data enabled will see a permission-required message instead of the widget. Either remove the hardcoded filter or build user-scoped versions of the widget.

Frequently Asked Questions

Does Only Assigned Data hide the user from records, or just from dashboards?
It scopes dashboard widgets and views to assigned records. Other permission settings control raw record access.
What happens to widgets with hardcoded user filters?
Users with Only Assigned Data enabled see a permission-required message instead of the widget data.
Can I set this for a whole role at once?
Data Visibility Scope is set per user in My Staff. Apply it across the team by editing each user, or use role-based permission templates if your tier supports them.
Will it filter calls and appointments too?
Yes. Assignments on contacts, opportunities, calls, and appointments all get respected by the scope.
