How to Use Multiple Calendars with Sparkforge Conversation AI
Conversation AI Multiple Calendars lets your booking bot route requests to the right calendar based on user intent. Configure several calendars, optional keywords, and a fallback so no booking is missed.
Conversation AI Multiple Calendars routes booking requests to the right calendar based on what the user actually asks for. You configure several calendars (one per service, department, or specialist) and the bot matches the user's intent to the correct one.
What Multiple Calendars Support does
The Appointment Booking Bot Goal can now select among multiple calendars instead of being locked to one. The AI matches user messages against calendar names, descriptions, and optional keywords. If a user types "I want to consult a Neurologist for migraine headaches," the bot finds the Neurology calendar and pulls available slots.
Smart calendar detection
The bot uses three signals to pick a calendar:
- The calendar's name in calendar settings.
- The calendar's description.
- Optional additional keywords and descriptions you add in the bot config.
Fallback calendar
The fallback calendar catches requests that don't match any configured calendar. Pick one of your calendars as the fallback, or leave it unset to require a match.
How to configure multiple calendars
- Go to AI Agents → Conversation AI → Bot Goals and select Appointment Booking.
- Choose Multiple Calendars at the top of the setup.
- Under Calendar Selection, pick the calendars to include. Names and descriptions auto-fetch.
- Optionally add keywords and descriptions to help the AI recognize intent. Skip this if your calendars already have detailed names and descriptions.
- Configure a Fallback Calendar, or uncheck to require a match.
- In AI Configuration, write your prompt (for example, "Which type of consultation would you like to book?").
- In Advanced Options, set behaviors: pause bot after booking, trigger workflows, transfer to an employee, allow cancel, allow reschedule.
- Save.
Calendar details are used only for intent classification. If you want the bot to discuss the appointment types, duplicate that information into the prompt itself.
Tips for accurate routing
- Use clear service-based keywords like "dentist," "eye check," or "consultation."
- Write calendar descriptions in plain language.
- Add common alternative phrases (for example, "I need a doctor for my eyes" → Ophthalmology).
- Keep prompts short and direct: "Which service would you like to book?"
Reviewing bookings
After a booking, the conversation thread shows the AI's confirmation message and slot details. Click View Appointment to open the details panel; the assigned calendar name (for example, Neurology) appears in the Calendar field.
