How to Generate Conversation Summaries and Transcripts

By Sparkforge Support Team ·Last reviewed May 3, 2026

Conversation AI can generate a summary and transcript after a conversation has been inactive for a set time. Enable it on the bot, configure inactivity time and minimum messages, and route the output to a workflow or email so it gets stored.

Conversation AI in Sparkforge can generate a summary and a transcript after a conversation goes inactive. Teams use it to review interactions faster, route important details into the CRM, and notify the right people without scanning every message.

What gets generated

  • Conversation Summary — a condensed overview of the key points from the interaction.
  • Conversation Transcript — the full message history, suitable for recordkeeping or workflow steps.

By default, conversation summaries are off. Generated summaries are not automatically stored in the CRM unless you route them somewhere — a workflow action or email notification.

Enable conversation summaries

  1. Navigate to AI Agents > Conversation AI.
  2. Select an existing bot or create a new one.
  3. Open the Bot Goals tab.
  4. Turn on Enable Conversation Summary.

Settings that control when a summary fires

Inactivity Time

How long the conversation must be idle before a summary is generated. If set to 15 minutes, Sparkforge waits until there have been no new messages from the contact or the bot for 15 minutes before summarizing.

Minimum Messages Required

Prevents summaries from being generated for very short conversations. If the conversation has fewer total messages than this minimum, no summary is generated even when the inactivity time has passed.

Trigger a Workflow

Route the generated output into a workflow. Use this when you want to save the summary or transcript to a contact note, internal log, or any other CRM action.

Email Notification

Send the summary by email to one or more of:

  • All Admins
  • All Users
  • Contact's Assigned User
  • Specific Users
  • Custom Email

Where the summary lives

The summary is generated in memory at the trigger point. To retain it, route it to a workflow that writes it to a contact note, custom field, or internal email. If you do not route it, the summary is not stored.

Frequently Asked Questions

Are summaries on by default?
No. The toggle has to be switched on per bot in Bot Goals, and you must define an inactivity time and minimum message count.
Are summaries automatically saved in the CRM?
No. Generated summaries are not stored unless you route them to a workflow action, contact note, or email notification.
What is the difference between summary and transcript?
The summary is a condensed overview of the key points. The transcript is the full message history, useful for documentation and workflow automation.
Can I send the summary to a specific user only?
Yes. The Email Notification setting supports All Admins, All Users, Contact's Assigned User, Specific Users, or a Custom Email address.
What stops summaries from being generated for short chats?
The Minimum Messages Required setting. If the conversation has fewer messages than the threshold, no summary is generated even after the inactivity time elapses.
