Guided Form Setup for Conversation AI in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

Guided Form bot setup in Sparkforge Conversation AI builds a logic-driven chatbot from a form instead of a written prompt. Define objectives, set actions, and launch in under three minutes.

Guided Form is the no-prompt setup path for Sparkforge Conversation AI. Instead of writing prompts, you fill out a structured form — brand info, objectives, questions, and post-completion actions — and Sparkforge builds the conversation logic for you.

When to Use Guided Form

  • You want a working bot in under three minutes.
  • You don't want to engineer prompts.
  • The bot's job is concrete: capture a lead, qualify a contact, answer a defined set of questions.
  • You need consistent, on-brand replies without manually testing prompt variations.

How to Set Up a Guided Form Bot

Step 1: Open the Create Bot Page

  1. Go to Conversation AI → Bots.
  2. Click Create Bot. The Guided Form interface opens by default.

Step 2: Add Brand Information (Optional)

Brand inputs help the bot match your tone:

  • Business Name
  • Business Type
  • Tone of Voice (professional, friendly, casual, etc.)

Step 3: Configure Basic Bot Settings

  • Initial Message — the first message the bot sends. If set, the Guided Form flow starts on the user's next reply. If left blank, the flow starts on the first message.
  • Language — pick the language the bot uses.
  • Bot Name — internal label.
  • Behavior Type — Auto-Pilot (fully automated) or Suggestive (sends reply suggestions).

Step 4: Define Objectives and Questions

  1. Click Add Question / Objective for each item.
  2. Enable Skip if Already Filled to avoid asking for known data.
  3. Drag and drop to reorder.

Common objectives: capture name, email, phone; qualify with yes/no questions; offer scheduling links.

Step 5: Additional Instructions

Use Additional Instructions inside Objectives & Questions to add guardrails — up to 2,000 characters. Keep bullets short, put the critical steps first, and define clear do/don't rules for edge cases.

Step 6: Set Up Actions per Objective

Decide what happens when an objective completes:

  • Trigger a workflow (e.g., enroll in an email sequence)
  • Update a custom field
  • Assign tags

Step 7: Final Review and Launch

  • Bot Availability — set time and day windows.
  • Channels — SMS, webchat, Instagram, etc.
  • Fallback Message — what the bot says when it can't handle a question.

Frequently Asked Questions

Can I switch between Guided Form and prompt-based bots?

Can I edit the bot after launch?
Yes. Open the bot in the Bot Manager and click Edit to change any field.
What happens if a user skips a question?
Behavior depends on how you configured the objective — the bot can retry, move on, or end the conversation.
Can I duplicate a Guided Form bot?
Yes. Use the Duplicate option in the bot menu to clone the configuration.
Does Guided Form work on Instagram and WhatsApp?
Yes, as long as those channels are connected to your Sparkforge sub-account.

The bot sends the Initial Message first and waits for the user's reply, then starts the objectives flow. Leaving Initial Message blank starts the flow on the first message.
