How to Customize Review Request SMS and Email in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

Sparkforge review requests automate SMS and email asks after check-in, retry on a schedule until clicked, and route to your Review Link. Configure templates, cadence, and live/retry sequence under Reputation → Settings.

Review request messaging automates how Sparkforge asks customers for public reviews. You configure SMS and email templates, retry cadence, and where the click sends them — then trigger sends manually, in bulk, or from a workflow.

What You Control

  • Brand consistency. SMS and email templates match your tone.
  • Cadence. When the first request fires, how often it retries, and the max retry count.
  • Personalization. Merge fields for contact and location variables.
  • Destination. Google Business Profile, custom URL, or balanced across multiple sites.
  • Live and retry sequence. Specific templates assigned to the first send and each retry slot.

Where Requests Can Be Sent

  • Reputation → Requests. Bulk or single requests with full tracking.
  • Contact record. Open a contact and click Send Review Request.
  • Workflows. The Review Request action automates sends after triggers like appointment status change.
  • WhatsApp. Configure separately under Reputation → Settings → WhatsApp Requests.

Set the Review Link

The Review Link is the URL inserted into every request. Configure under Reputation → Settings → Review Link.

  • Review Balancing. Distributes traffic across configured platforms (e.g., Google).
  • Get Reviews on Google. Connect Google Business Profile to route to your Google listing.
  • Custom Link. Paste one URL to send everyone to a single page.

If you use a Custom Link, confirm it opens directly to the review form. If you use Balancing, confirm every integration is connected.

Configure SMS Requests

Navigate to Reputation → Settings → SMS Requests.

  1. Toggle Enable SMS Review Requests in the top-right.
  2. Set When to send SMS after check-in (e.g., Immediately).
  3. Set Until clicked, repeat this every with a number + Days.
  4. Set Maximum retries.

Create or Edit an SMS Template

  1. Click Create New (or Edit on an existing template).
  2. Pick Create New from Scratch or Select from Pre-Built Templates.
  3. Add a Template Name. Optionally enable Request with Image (sends as MMS — carrier fees may differ).
  4. Write the message and insert the review link token: {{reputation.review_link}}.
  5. Click Save.

Configure Email Requests

Navigate to Reputation → Settings → Email Requests.

  1. Toggle Enable Email Review Requests.
  2. Set When to send Email after check-in (e.g., 1 Hour).
  3. Set Until clicked, repeat this every.
  4. Set Maximum retries.

“After check-in” means when the Send Review Request action fires — manually from a contact or Reputation, or automatically via a Workflow Review Request action.

Create or Import an Email Template

  1. Click Create New → Create new Template or Import from Template Library.
  2. In the email builder, add branding and content.
  3. Drag the Review Link element into the email (or set a CTA button to use the Review Link).
  4. Save.

Assign the Live and Retry Sequence

Toggling SMS and email on isn’t enough — you also have to tell Sparkforge which template fires first and which fills each retry slot.

  • Email: Click Set Email Templates, pick the Live template, assign each Retry slot, click Save.
  • SMS: Click Set SMS Templates, pick Live and Retry templates, click Save.

FAQ

Common review request questions below.

Frequently Asked Questions

What happens after a customer clicks the review link?
The retry schedule for that channel stops once the click is detected. No more follow-ups go to that contact on that channel.
What’s the difference between Review Balancing and a Custom Link?
Balancing distributes traffic across connected review sites (e.g., Google). Custom Link sends every customer to one URL you choose.
Which SMS token sends the review URL?
Use {{reputation.review_link}}. It pulls from the Review Link configured under Reputation → Settings → Review Link.
How many retries should I set?
Most teams start with 2-3. The right number depends on engagement, industry norms, and compliance requirements.
Does adding an image to SMS change the cost?
Yes. Image attachment may push the message to MMS, which can carry different carrier rates. Confirm with your messaging provider.
Do I need Google Business Profile connected?
Only if you want to route reviews to Google through Balancing. If you prefer one site or your own page, set a Custom Link instead.
Can review requests fire automatically after a job?
Yes. Add the Review Request action in a Workflow triggered by appointment status, tag, or any other condition you set.
