Task Completed Workflow Trigger in Sparkforge
The Task Completed trigger runs a workflow whenever a task is marked complete. Filter by assigned user, business niche, or description to scope the trigger to the work that matters.
The Task Completed trigger starts a workflow the moment a task is marked complete. Use it to push automatic follow-ups: send a confirmation email, update an opportunity stage, or notify a teammate.
What the trigger does
It fires when any user completes an assigned task. You can scope it to specific users or filter by custom fields on the task so the workflow only runs for the right work.
Trigger fields
| Field | Description | Required |
|---|---|---|
| Assigned User | The user the task is assigned to. Leave blank to fire for any user completing a task. | No |
| Business Niche | A custom field that filters task completions by the business niche tied to the contact or task. | No |
| Description | A custom field that filters by content in the task description. | No |
How to configure
- From the trigger list, choose Task Completed.
- Name the trigger something descriptive ("Sales Task Completed Follow-up").
- Add filters if you want to scope the trigger to a specific user or custom field value.
- Save.
Example: real estate sales follow-up
- Trigger Name: Sales Task Completed
- Assigned User: John Doe
- Filter: Business Niche = Real Estate
When John Doe completes a task on a Real Estate contact, the trigger fires. The workflow can then send the contact a follow-up email or update the CRM stage.
Frequently Asked Questions
Does the trigger fire on every task or only specific ones?
By default it fires on every completed task. Add filters by assigned user, business niche, or description to scope it down.
Can I filter by who completed the task?
Yes. Set the Assigned User field to a specific user, and the trigger only fires when that user marks a task complete.
Do filters use AND or OR logic?
Multiple filters combine, so the trigger fires only when every filter matches. Use separate workflows if you need OR behavior.
What kinds of follow-up actions work well after this trigger?
Sending the contact an email or SMS, updating the opportunity stage, creating the next task, or notifying the assigned user's manager.
Do task notes carry into the workflow?
The Description filter checks task description content. To act on the description text downstream, reference it via custom values in subsequent actions.
