How to Send Custom Welcome Emails to New Sparkforge Membership Users

By Sparkforge Support Team ·Last reviewed May 3, 2026

Sparkforge's Membership Welcome Email lets you send a branded email with login info and offer details when a new member is granted access. Edit the system template under Marketing → Emails → Templates, then toggle Send Welcome Email on under Sites → Memberships → Settings → Email Settings.

The Membership Welcome Email is a customizable system template that fires the moment a new member is granted access to a course or offer. You edit it once under Marketing templates, enable it once under Membership email settings, and every new member gets a branded onboarding email with their login info and offer details.

What you can put in the email

  • Custom subject line and body content with your brand voice.
  • Logo, colors, and footer that match the rest of your sends.
  • Custom values like {{contact.first_name}} and {{offer.title}}.
  • Login link and credentials so the member can get straight in.
  • Attachments — onboarding PDFs, schedules, getting-started guides.

Common use cases

  • Welcome email: short thanks, summary of what they bought, login link.
  • Onboarding email: deeper intro, recommended first steps, links to support resources.
  • Program-specific welcomes: fitness, cooking, language learning, digital marketing, project management — each can have its own template branched off the system version.

Step 1: Edit the system template

  1. Click Marketing → Emails.
  2. Click Templates.
  3. Click + New → Email Marketing Templates.
  4. Open System Templates, hover over Membership Welcome Email, and click Select.
  5. Preview, then click Continue to create your editable copy.
  6. Click the pencil icon next to your new template to open the editor.
  7. Customize copy, branding, and custom values. Default membership tokens like {{contact.first_name}} and {{offer.title}} are already wired in — add more as needed.

Step 2: Enable the welcome email on memberships

  1. Click Sites → Memberships → Settings.
  2. Click Email Settings.
  3. Toggle on Send Welcome Email.
  4. Pick your customized template from the dropdown.
  5. Click Save.

Available custom values

  • {{contact.first_name}} — member's first name.
  • {{contact.email}} — login email.
  • {{offer.title}} — the offer they were granted access to.
  • {{membership.login_link}} — direct link to log into the member portal.
Product titles aren't supported in the welcome email because one offer can have multiple products. Only the offer title is available. Use drip emails inside the offer if you need product-specific copy.

Frequently Asked Questions

Can I use my own branding in the membership emails?
Yes. Customize logo, colors, fonts, and footer in the template editor — the welcome email inherits the same branding controls as any other email template.
How do I keep welcome emails out of spam folders?
Authenticate your sending domain (SPF, DKIM, DMARC), avoid spam trigger words in the subject, and only send to people who explicitly opted in or purchased.
Can I track open and click rates on welcome emails?
Yes. Sparkforge tracks opens, clicks, and link engagement on every email send, including the system welcome template.
What should the welcome email contain?
The login link, a short intro to the program, and links to a getting-started resource. Keep the first email short — use drip emails for the rest.
Can I include the product title in the welcome email?
No. The welcome email fires when offer access is granted, and one offer can hold multiple products. Use the offer title token instead, and put product-specific content in drip emails.
