How to Send New Lead Email or SMS Notifications in Sparkforge
Use the Send Internal Notification action in a Sparkforge workflow to fire email, SMS, or in-app alerts when a new lead enters your CRM. Rate limits cap notifications at 500 per five minutes per user.
The fastest way to win new leads is to respond first. A new-lead notification fires the moment a contact enters Sparkforge so you or your team can reach out before the lead goes cold.
Build the notification workflow
- Open Automation and click Start from scratch.
- Click Create workflow.
- Click Add New Workflow Trigger and pick the entry event — for example, Form Submitted, Contact Created, or Tag Added.
- Click Add your first Action.
- Choose Send Internal Notification.
- Pick the notification type: Email, SMS, or In-app.
- Set the recipient (yourself, a specific user, or a role) and the message body.
- Save and activate the workflow.
Rate limits
Sparkforge caps internal notifications at 500 per 5 minutes per user, per workflow. The cap protects against runaway alerts.
- Email: 500 per 5 minutes per user email.
- SMS: 500 per 5 minutes per user phone number.
- In-app: 500 per 5 minutes per user ID.
Notifications above the cap are skipped silently. If you push 300,000 contacts through a workflow that pings one user, only the first 500 in any five-minute window will land.
For high-volume workflows, send notifications to a shared inbox or use a tag-based summary instead of one-off alerts. Otherwise the rate limit will quietly drop most of them.
Frequently Asked Questions
Can I notify multiple users at once?
Yes. Add multiple recipients to a single Send Internal Notification action, or chain multiple actions in the same workflow. Each user has their own 500-per-5-minute cap.
What happens when I exceed the rate limit?
Notifications past the cap are skipped silently. There is no queue or retry — the alerts simply do not send. Plan high-volume workflows around this.
Can I send a notification only on certain conditions?
Yes. Add If/Else branches in the workflow before the notification action and gate it on tags, custom fields, lead value, or any other contact data.
What is the difference between an internal notification and a regular SMS?
Internal notifications go to your team or yourself and are rate-limited per user. Regular SMS actions send to the contact and use your messaging service quota and rules.
