How to Use Resources in Sparkforge Services to Prevent Double Booking
Resources in Sparkforge Services tie real-world assets like rooms, chairs, or stations to bookings so the calendar can't oversell them. Set quantity by creating one resource per asset and capacity for how many appointments each can handle.
Resources in Services let you reserve the real-world assets needed to deliver an appointment — rooms, chairs, stations, machines — so the calendar reflects what's actually available.
What a resource is
A resource is a physical asset required for a service. When the service is booked, the resource is reserved alongside it, which keeps availability accurate and prevents double bookings.
Create resources only when availability is the limiting factor:
- A pair of scissors for a haircut probably doesn't need to be a resource — you have plenty.
- A haircut chair should be a resource if you only have two. Even with three stylists free, two chairs cap simultaneous bookings.
Note: Each service books one resource at a time, but you can assign multiple equivalent resources (e.g., Chair 1 and Chair 2). Sparkforge picks any available one automatically.
Why use resources
- Fewer scheduling mistakes: prevents the double-booking that turns into cancellations and reschedules.
- Capacity control: cap simultaneous appointments based on real-world limits.
- Less manual oversight: the asset is reserved automatically when the service is booked.
- Smoother schedules: with multiple equivalent resources, one busy chair or room doesn't stall the day.
Capacity vs. quantity
These are easy to confuse and worth getting right.
- Quantity: one resource per physical unit (Room 1, Room 2, Room 3).
- Capacity: how many appointments a single unit can handle at once.
Example: A spa with 3 rooms creates 3 resources — Spa Room 1, Spa Room 2, Spa Room 3. If Spa Room 1 fits 4 people at once, set its capacity to 4.
How to create a resource
- Go to Calendar → Calendar Settings → Services → Resources.
- Click + New Resource in the top right.
- Enter a Name and an optional description.
- Pick the Service(s) that will use this resource.
- Pick the Location(s) where it's available.
- Set the capacity per location if you operate in multiple places.
- Click the blue Create button.
Once created, the resource is reserved automatically every time its assigned services are booked.
Assigning resources to services
You can wire up the link from either side — the Resources tab or the Services tab.
- Assign Services: pick the services that need this resource.
- Assign Locations: pick where the resource is available (helpful for multi-location businesses).
- Set Capacities: define maximum simultaneous capacity per location.
If the resource isn't free at a requested time, that slot won't be offered for booking.
Best practices
- Only model real limiting factors: treatment rooms, chairs, machines.
- Use clear names: Spa Room 1, Haircut Chair 2.
- Set the right capacity to avoid overbooking.
- Stay consistent across locations so multi-location scheduling works the same everywhere.
