How to Configure Staff Availability and Hours in Sparkforge Services
Configure staff in Sparkforge Services with three layers of availability: default availability (template), weekly working hours (recurring), and date-specific hours (one-off overrides for holidays or special events).
Staff inside Services controls who can be booked, when they’re available, and which services they handle. Only services assigned to active, available staff are bookable — so this configuration is what makes the booking page work.
What You Can Configure
- Staff visibility — assign services so a staff member appears in the booking flow for those services.
- Centralized availability — set hours once, manage in one place.
- Multiple time slots per day — model breaks and split shifts.
- Service-specific pricing — charge differently for the same service per staff member.
- Appointment limits — cap appointments per day, week, or month.
Open the Staff Panel
Go to Calendar → Calendar Settings → Services → Staff. From here you can view name, email, phone, and role; search and sort; add new staff; or share a staff member’s booking link.
Add a Staff Member
Basic Details
- Profile picture — shown on booking pages.
- First and last name (required) — internal and customer-facing.
- Email (required) — must be unique; used for login and notifications.
- Phone number (optional).
- Timezone — where the staff member works.
- Custom URL — unique booking link.
- Default availability — baseline working hours (e.g., Mon–Fri, 9 AM–5 PM).
Default availability is the template applied whenever a staff member is added to a service. Without availability, services can’t be booked — so set this up first. You can refine it later with weekly working hours or date-specific overrides.
Edit a Staff Member

1. Basic Details
Update name, email, phone, picture, timezone, custom URL, or default availability.
2. Assign Services
Pick the services this staff member can deliver. Required — unassigned staff don’t appear in the booking flow.
- Service-specific pricing — override price per service for this staff member.
- Appointment limits — cap per day, week, or month.
3. Weekly Working Hours
Set the recurring schedule:
- Pick working days.
- Add multiple time slots per day (use this for breaks: e.g., 9:00–12:00 and 13:00–17:00).
- Assign which services and locations apply during each slot.
4. Date-Specific Hours
One-off overrides for holidays, events, or temporary changes:
- Mark available or unavailable for a date.
- Define custom time blocks for specific dates.
- Scope to specific services and locations if needed.
- Non-consecutive dates split into separate entries; consecutive dates group together.
5. Bulk Date-Specific Hours
Apply the same hours across many dates (holiday hours, event coverage):
- In the Date-Specific Hours tab, select multiple dates.
- Set start and end time.
- Pick services and locations.
- Apply.
Three Levels of Availability
| Type | What It Means | Example |
|---|---|---|
| Default Availability | Template auto-applied when staff is first assigned to a service. | Hannah’s default is Mon–Fri, 9 AM–5 PM — it auto-fills on every new service. |
| Weekly Working Hours | The actual recurring schedule that controls week-to-week bookability. | Hannah works Mon–Thu 10–4 for Massage but Fri 12–6 for Hair Cut. |
| Date-Specific Hours | One-time overrides that replace weekly/default for a given date. | Hannah marks May 27 unavailable for a personal event. |
Best Practices
- Always assign staff to at least one active service and location.
- Confirm staff has availability for assigned services — unset availability means the service won’t book.
