Multiple Recipients on Sparkforge Proposals and Estimates

Sparkforge proposals and estimates support multiple signers, including the sending business user. Each Signer gets a unique link to sign their assigned fields; CC recipients receive a copy without signing.

Sparkforge proposals and estimates support multiple signers on a single document. Assign signature fields to any recipient — including the business user sending the document — and each one receives a unique link tied only to their portion.

Signers vs. CC recipients

  • Signer — any recipient with a signature field assigned to them on the document.
  • CC recipient — a contact added to the document who has no signature fields. They receive a copy but don't sign.

How signing works

  1. Add recipients and assign signature fields to each Signer.
  2. Sparkforge sends each Signer a unique link.
  3. Each Signer can only sign the fields assigned to them.
  4. Once every Signer has signed or accepted, Sparkforge generates the final signed PDF and the signature certificate.

The signature certificate

The certificate captures the full audit trail for every Signer:

  • IP address
  • Location
  • Viewed date and time
  • Signed date and time

Primary recipient

The first recipient added to the document is treated as the Primary recipient by default. This affects two things:

  • Custom fields on the document populate from the Primary recipient's contact record.
  • The invoice generated after acceptance is created against the Primary recipient.

Internal signers

The business user sending the proposal can also be assigned signature fields, so countersigning happens inside the same document flow rather than as a separate step.

Frequently Asked Questions

How many signers can a single document have?
You can assign signature fields to multiple recipients on the same document, including the business user sending it. Each Signer gets a unique link to sign only their portion.
What's the difference between a Signer and a CC recipient?
A Signer has at least one signature field on the document. A CC recipient has no signature fields — they receive a copy but don't need to sign.
When is the final signed PDF generated?
After every Signer has signed or accepted the document. Sparkforge then produces the signed PDF and a signature certificate covering all parties.
Whose data populates custom fields on the document?
The Primary recipient's. By default, the first recipient added is the Primary recipient, and custom fields plus the invoice are tied to that contact.
What does the signature certificate include?
IP address, location, viewed date/time, and signed date/time for every Signer on the document.
