How to Customize Invoice Email and SMS Notifications
Sparkforge lets you replace the default invoice email and SMS notifications with custom templates that include your branding, invoice details, and merge fields. You can also choose which notifications fire to the customer versus the sub-account user.
By default, Sparkforge sends a standard set of invoice emails and SMS messages whenever an invoice is created, sent, or paid. The notification customization feature lets you replace those defaults with your own templates so the wording, the branding, and the trigger logic match how your business actually communicates.
What You Can Customize
- Email body and subject — fonts, colors, layout, and copy
- SMS body — short-form text with merge fields
- Which notifications fire and which stay off
- Separate templates for the customer receiving the invoice and the sub-account user sending it
Available Notification Types
Sparkforge fires notifications at each stage of the invoice lifecycle. Each one can be edited or disabled independently.
| Stage | Recipient |
|---|---|
| Invoice sent | Customer |
| Invoice viewed | Sub-account user |
| Payment received | Customer and sub-account user |
| Payment failed | Customer and sub-account user |
| Upcoming invoice reminder | Customer |
| Overdue reminder | Customer |
How to Customize a Notification
- Open Payments > Invoices & Estimates and click the gear icon for settings.
- Select Notifications.
- Pick the notification you want to edit and toggle Customize.
- Use the rich-text editor to set your subject line and body. Insert merge fields for customer name, invoice URL, total, and due date.
- Save the template. Use Send Test to preview it on a real address or phone number.
Useful Merge Fields
{{contact.first_name}}— customer first name{{invoice.total}}— invoice total{{invoice.due_date}}— due date{{invoice.url}}— link to the hosted invoice{{location.name}}— your business name
Disable a Notification
If you do not want a particular event to send anything, toggle the notification off entirely. This is useful for staff-side notifications when a team uses a separate tool to track invoice activity.
