Outgoing System Emails Sparkforge Sends Automatically

By Sparkforge Support Team ·Last reviewed May 3, 2026

Sparkforge sends two tiers of system emails: sub-account level (appointments, invoices, reviews) and agency level (account events, SaaS sales, A2P registration updates). Several can be turned off in settings.

Sub-account level emails

New Appointment Request

Sent from Unassigned Calendars and Group Calendars when a contact books.

To stop them on a Group Calendar: Location Settings → Calendar Settings → Open Calendar → Confirmation tab → Save.

To stop them on an Unassigned Calendar: Location Settings → Calendar Settings → Open Calendar → Confirmation tab → remove emails → Save.

If auto-confirmation and appointment-alert emails are both on, appointment owners still get appointment-request emails. A fix is on the next calendar update schedule.

Appointment review request (email and SMS, can be disabled)

The signed-in user appears as the sender. To send on behalf of a contact's assigned user, use the workflow action Send Review Request.

Social Planner reconnect notification (can be disabled)

Sent when a connected social token expires. The signed-in user appears as the sender.

New review email (can be disabled)

Sent when a new review is captured.

Invoice and payment notifications

  • Invoice payment attempt failed (end customer)
  • Invoice payment successful (end customer)
  • Auto-payment error on a recurring template
  • Auto-payment skipped because the invoice amount was manually updated

End customer notifications

  • Invoice received
  • Invoice payment successful
  • Invoice payment failed
  • Upcoming auto-payment information
  • Auto-payment failed for a recurring template

Agency level emails

  • Reset Password
  • Verification Code Email
  • New User Email Notification
  • Notify the agency when a user is added at agency or location level
  • Notify a new user with a username and password when their account is created
  • Notify the agency when a new SaaS sale closes
  • Payment Failed for the Client

A2P and Toll-Free verification events

Registration status updates go to agency owners and admins from noreply@donotreply.sparkforgehq.com. Triggers fire when carriers update any of:

  • A2P Brand: rejection or approval
  • A2P Campaign: submitted, rejection, or approval
  • Toll-Free: submitted, pending review, rejections, or approvals
