How to Set Up Automated Invoice Reminders in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

Sparkforge sends automated invoice reminders directly from invoice settings — no workflow needed. Add multiple reminders, set frequency relative to due date or sent date, and toggle each one on or off independently.

Earlier you had to build a workflow to chase unpaid invoices. Now you set reminders directly in invoice settings: multiple reminders, custom email and SMS templates, and timing relative to either the due date or the sent date.

What you can configure

  • Add multiple reminders, each with its own toggle.
  • Pick email, SMS, or both per reminder.
  • Set frequency: every X days, hours, or months, before or after the invoice due date or sent date.
  • Cap the maximum number of reminders so they stop firing eventually.
  • Delete a reminder or disable it without losing the config.

Setting up reminders

  1. Open Invoices > Settings > Reminder Settings.
  2. Configure each reminder:
    • Reminder Name
    • Email and SMS templates — use existing templates or create one inline
    • Email subject line
    • Frequency — Every [X] [Days/Months/Hours] [After/Before] [Due Date/Sent Date]
    • Maximum reminders — caps the total number of nudges
  3. Click Add New Reminder for each additional reminder.
  4. Toggle reminders on or off as needed.

Important behavior to know

Reminders only apply to invoices created after enabling them

Existing overdue invoices won't get automated reminders retroactively. The system only fires for invoices created after the reminder feature is configured. Old overdue invoices need to be chased manually.

The previewed template is what actually sends

What you see in the preview is what customers receive. Configure as many reminders as you need (Reminder 1, Reminder 2, etc.), each with its own timing.

Manual reminder caveat

You can manually send a reminder from the contact view, but dynamic invoice fields (amount, due date, invoice number) do not auto-populate in the manual message composer. Selecting the contact only fills in contact info. Use manual reminders sparingly to avoid template mismatch.

Due-date changes are forward-only

Updating Invoice Due After (days) in Payment Settings only affects invoices generated after the change. Existing invoices, including recurring ones already issued, keep their original due date.

Frequently Asked Questions

Do automated reminders apply to invoices that were already overdue?
No. Reminders only fire for invoices created after the reminder feature was enabled. Older overdue invoices have to be handled manually.
Can I send reminders by SMS, not just email?
Yes. Each reminder supports email and SMS templates, and you can use either or both.
Can I cap the total number of reminders sent on one invoice?
Yes. Set the Maximum Reminders value on each reminder to stop it from firing endlessly.
Why don't dynamic fields populate when I manually send a reminder?
The manual message composer only fills in contact info — it doesn't auto-populate invoice amount, due date, or invoice number. Stick to the automated reminders when possible.
Will changing Invoice Due After update existing invoices?
No. Due-date changes apply only to invoices generated after the update. Existing recurring invoices keep their original schedule.
