How to Create SmartLists for Custom Objects in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

SmartLists let you save filter, sort, and column setups for custom objects in Sparkforge. Share them with the team using view or edit permissions, and switch between views from the manage menu.

SmartLists save filter, sort, and column configurations for custom objects so you stop rebuilding the same view every time. Share them across the team with granular permissions.

What SmartLists do

  • Custom views per object — Jobs, Properties, anything you defined
  • Search SmartLists directly from the manage menu
  • Switch views instantly between saved lists
  • Resize columns and save the widths with the list
  • Share with view-only or edit permissions, or via direct link
  • Duplicate, rename, export, delete as needs change

Create a SmartList

  1. Open the custom object (for example, Jobs).
  2. Click Advanced Filters and set your filter criteria.
  3. Choose the columns to display and the sort order.
  4. Click the + List icon.
  5. Enter a name, review filters and columns, and create.

Manage a SmartList

  • Edit via Customize List to adjust filters, columns, and sort.
  • Duplicate, rename, and create.
  • Export to download the list data.
  • Delete when the view is no longer needed.

Share with permissions

By default, sub-account admins and users can see SmartLists. To change that, click Share and assign View or Edit permissions to specific users. Direct links keep the same view visible across the team.

Quick SmartList creation from filters

  1. Apply any advanced filter to a custom object.
  2. Click Unsaved Changes at the top right.
  3. Choose Save as New SmartList.

Search across SmartLists

Open the ... menu and choose Manage SmartLists. Use the search field to find a list by name.

Best practices

  • Name SmartLists by purpose — "Open Jobs This Week" beats "Jobs 1".
  • Audit sharing permissions whenever team membership changes.
  • Duplicate before experimenting on a critical view.
