How to Copy Contacts Between Sparkforge Sub-Accounts

By Sparkforge Support Team ·Last reviewed May 3, 2026

The Copy Contact workflow action duplicates a contact (with optional tags and custom fields) from one Sparkforge sub-account to another. Conversations, notes, files, and appointments do not transfer.

Sparkforge has a workflow action called Copy Contact to Sub-Account that duplicates contact records across tenants. It is the right tool when an agency manages multiple sub-accounts and a lead needs to move between them.

Prerequisites

  • Premium Triggers & Actions enabled in Agency Settings.
  • Each sub-account starts with 100 free executions of premium actions.
  • To pass execution costs through to clients, enable rebilling per sub-account from the Agency view.
  • If premium actions are enabled in your SaaS Configurator, new sub-accounts auto-enroll without extra setup.

Set up the Copy Contact action

  1. Open Workflows and create a new workflow or edit an existing one.
  2. Add the Copy Contact to Sub-Account action.
  3. Select the target sub-account.
  4. Configure the toggles below as needed.
  5. Publish the workflow.

Action toggles

  • Copy Tags. Carries tags from the source contact. You can also add or create tags inline that get applied on copy.
  • Copy Custom Fields. Copies custom field values, but only for fields that already exist in the target sub-account with the matching field type. Build the destination fields first.
  • Update Contact if it Already Exists. If the email matches an existing contact in the target, update it instead of skipping. With the toggle off, only new contacts are created.
  • Skip Copy if Contact Lacks Email and Name. Prevents incomplete records from polluting the destination.

What does and does not copy

Copied

  • Contact info (name, email, phone, address)
  • General info fields
  • Tags (toggle on)
  • Custom field values (toggle on, fields and types must exist in target)

Not copied

  • Conversations and message history
  • Activity log and notes
  • Tasks and appointments
  • Payments and invoices
  • Documents and files

File caveat. Files attached to the original contact are not migrated. References on the copied contact may still point at the source contact's files — if you delete the original contact, those files can become inaccessible. Keep the source contact intact if file access matters.

Frequently Asked Questions

Does Copy Contact bring over conversation history?
No. Conversations, notes, tasks, appointments, payments, and files all stay on the source contact. Only the contact record itself, tags, and matching custom fields move.
What happens to custom fields that don't exist in the target sub-account?
They are silently skipped. The target sub-account must have the same custom field name and field type for the value to copy across.
Can I update an existing contact instead of creating a duplicate?
Yes. Enable Update Contact if it Already Exists. Sparkforge matches on email — when it finds a match in the target sub-account, the action updates the existing contact instead of creating a new one.
Does Copy Contact cost extra?
It uses Premium Actions credits. Each sub-account gets 100 free executions; beyond that you pay per execution or rebill the cost to the client through Agency Settings.
Will files and attachments transfer?
No. Files are not migrated as standalone assets. The copied contact may still reference files on the original record — deleting the source contact can break those references.
