How to Send Slack Messages from a Sparkforge Workflow

By Sparkforge Support Team ·Last reviewed May 3, 2026

The Slack workflow action sends automated messages from Sparkforge into your Slack workspace. You can DM a specific user, post to a private channel, or post to a public channel as part of any workflow.

The Slack workflow action turns CRM events into Slack messages. New lead, won opportunity, failed payment, missed call — pipe any of it into the right Slack user or channel without leaving Sparkforge.

What the Slack action can do

The action exposes three event types:

  • Direct message a user — by assigned user, custom email, internal Sparkforge user, or Slack username.
  • Post to a private channel — message appears as if sent by the user who set up the Slack integration.
  • Post to a public channel — broadcast to everyone in the channel.

Common use cases

  • Sales: ping a rep when a new lead matches a high-value filter.
  • Support: alert the support channel when a ticket escalates.
  • Operations: notify dispatch when a job is booked or rescheduled.
  • Marketing: drop a note in a campaign channel when a form is submitted or a milestone is hit.
  • HR / internal: announce onboarding steps, training reminders, or policy updates.

How to send a direct message to a user

When the event is set to Send Direct Message to User, you have four targeting options:

Assigned User

Sends the message to the Sparkforge user assigned to the contact. The user's email (Settings > My Staff > User Info) is matched to a Slack user.

Custom Email

Use this when the recipient is dynamic. Type an email address or pull one from a custom variable. Sparkforge matches the email to a Slack user.

Internal User

Pick a specific Sparkforge sub-account user. Useful when one role always handles a step — for example, the finance lead getting every closed-won notification.

Slack User

Search the Slack workspace directly by name and pick the recipient.

How to post to a private or public channel

Pick the channel from the dropdown. Private channel posts appear under the user who set up the Slack integration. Public channel posts go to everyone in the channel.

Setup steps

  1. Open or create a workflow in Automation.
  2. Add a workflow action and select Slack.
  3. Pick the event: DM a user, private channel, or public channel.
  4. Pick the recipient using the targeting options above.
  5. Compose the message. Use the custom value picker to pull contact and event data into the body.
  6. Save the action and turn the workflow on.

Frequently Asked Questions

Do I need a paid Slack plan to use the Slack workflow action?
You need a Slack workspace where you can install integrations. Posting to private channels requires the integrating user to be a member of those channels.
Can I send a Slack message to someone who isn't a Sparkforge user?
Yes — use the Custom Email or Slack User option. Custom Email matches any email address to a Slack user. Slack User searches your workspace directly by name.
What happens if the Slack user can't be found?
The action fails for that contact and the failure is logged in the workflow execution history. Verify the email matches between Sparkforge and Slack, or use the Slack User search to pick directly.
Can I use merge fields in the Slack message?
Yes. The custom value picker exposes contact fields, custom values, and any data captured by triggers earlier in the workflow.
