Workflow Settings in Sparkforge: Complete Reference
Workflow Settings are master controls applied to an entire workflow: who can enter, when messages can send, the default sender, and what happens when a contact responds. Configure them once per workflow under the Settings tab.
Workflow Settings govern how an automation behaves end-to-end. Instead of configuring rules per action, you set them once for the whole workflow under the Settings tab.
Open Workflow Settings
- Open the Automation section in your dashboard.
- Open an existing workflow or create a new one.
- In the workflow builder, click the Settings tab at the top.
Contact Settings
Allow Re-entry
Controls whether a contact can enter the workflow more than once.
- Enabled: Contact can re-enter after fully completing or being manually removed. Useful for recurring sequences like reminders.
- Disabled: Contact can only enter once.
Exception: Appointment-based and invoice-based triggers always allow re-entry per appointment or invoice, regardless of this setting.
Allow Multiple Opportunities
Applies to opportunity-based triggers like Pipeline Stage Changed.
- Enabled: A contact runs the workflow once per qualifying opportunity.
- Disabled: Contact only enters for the first qualifying opportunity.
New workflows default to enabled. Older workflows default to disabled. Updating an opportunity mid-flow does not restart the workflow.
Stop on Response
Removes a contact from the workflow when they reply to a message the workflow sent. Prevents automation from talking over a live conversation.
- Enabled: Workflow ends for that contact on any reply across channels managed by the workflow.
- Disabled: Workflow continues until it naturally ends.
Stop on Response with Call actions
By default, voicemail detection determines whether a person or machine answered the call. This adds a small delay. Inside a Call action you can toggle Disable Voicemail Detect to remove the delay, but a voicemail will then count as a response. To keep automation flowing, set the call timeout under 20 seconds so the call never reaches voicemail.
Note: The Business answering or not has no effect on Stop on Response. Only the Contact's response (or voicemail, if detection is off) matters.
Communication Settings
Timezone
- Account Timezone: All time-based actions run in the location's timezone.
- Contact Timezone: Actions run in each contact's local timezone. Falls back to Account Timezone if a contact has none set.
Workflow history shows which timezone each action used.
Time Window
Restricts when communication actions can fire. Actions scheduled outside the window pause and resume at the next valid time.
- Toggle on Specific Time to enable.
- Set Start Time and End Time.
- Pick the days of the week the window covers.
Sender Details
Default sender info for every message in the workflow:
- From Name: default sender name on emails.
- From Email: default sending email address.
- From Number: default phone number for SMS.
Individual email or SMS actions can override these defaults.
Conversations - Mark as Read
By default, workflow-sent messages mark the conversation as unread to flag it for review. Toggle this on to mark workflow-touched conversations as read instead, useful for purely administrative or informational sequences.
