How to Auto-Assign Leads to Users in Sparkforge Workflows

By Sparkforge Support Team ·Last reviewed May 3, 2026

Use the Assign to User action in a workflow triggered by Contact Created to round-robin new leads. Add an Internal Notification action after it so the assigned user is notified the moment a lead lands.

Round-robin lead distribution keeps response times fast and stops leads from sitting in a shared queue. Set it up once with a workflow and Sparkforge handles assignment plus notifications automatically.

Step 1: Create the workflow

  1. Go to Automations > Workflows.
  2. Click Create Workflow.
  3. Choose Start from Scratch.

Step 2: Add a trigger

Pick a trigger that matches how leads enter your system. Contact Created is the simplest — the workflow fires every time a new contact appears, regardless of source.

Step 3: Add the Assign to User action

  1. Add the Assign to User action.
  2. Select the users in your sub-account who should be in the round-robin.
  3. Leave Split Traffic set to Equally for an even split, or weight it if certain users should get more.

Step 4: Notify the assigned user

  1. Add the Internal Notification action after the Assign to User action.
  2. Pick a notification channel: in-app, SMS, email, or any combination.
  3. Under User Type, select Assigned User so the alert only goes to the rep who got the lead.

Order matters. The notification has to come after the assignment, otherwise there's no assigned user to notify.

Step 5: Publish

Toggle Publish on at the top right and click Save. The workflow runs on every new contact from this point forward.

Frequently Asked Questions

What if a user is on vacation or off the clock?
Sparkforge doesn't auto-skip users by default. Either remove them from the round-robin temporarily or add a calendar-based If/Else branch that excludes them when they're out.
Can I round-robin based on tag, source, or location?
Yes. Add If/Else branches before the Assign to User action to route different lead types to different round-robin pools.
Will the assigned user see the lead in their inbox?
Yes. Once assigned, the contact and any conversations attached to it show up under that user's view in the unified inbox.
Can I send notifications to a Slack channel instead?
Internal Notifications are limited to in-app, SMS, and email. For Slack, add a webhook action to post the lead details to your channel.
