How to Add GDPR Consent Checkboxes to Sparkforge Forms

By Sparkforge Support Team ·Last reviewed May 3, 2026

Add a custom checkbox field to your form, mark it required, then build a workflow that tags contacts as compliant or non-compliant and segment them with Smart Lists.

If you collect leads from visitors in regions with consent laws (EU, UK, California), you need a checkbox where they actively confirm they want to hear from you. Sparkforge handles this with a required custom checkbox field, a workflow that tags the contact, and Smart Lists that keep your compliant and non-compliant audiences separate.

Step 1: Add a custom checkbox field to your form

  1. Open the form in Form Builder.
  2. Click Custom Fields in the top right.
  3. Click the orange add button and select Checkbox.
  4. Name the field something clear like GDPR Compliance Checkbox.
  5. Use the placeholder field for your actual consent statement (the text the visitor reads).

The placeholder text is your consent statement, not legal advice. Have counsel review the wording for your jurisdiction.

Step 2: Make the checkbox required

Drop the field onto the form, click it, and toggle Required on the right panel. The form will not submit without consent.

Step 3: Build the consent workflow

  1. Open Workflows and click Start From Scratch.
  2. Name the workflow (for example, GDPR Consent Routing).
  3. Add the trigger Form Submitted and pick the form with the checkbox.

Step 4: Branch on the consent answer

  1. Click the + to add an action.
  2. Under Conditions and Workflow, select If / Else.
  3. Set the segment to Contact Details > Custom Fields > GDPR Compliance Checkbox.
  4. Operator: includes. Value: yes. Save.

Step 5: Tag each path

On the Yes branch, add the action Add Contact Tag and create a tag called compliant. On the No branch, add the same action with a tag called non-compliant.

Step 6: Create Smart Lists for each tag

  1. Open Contacts > Smart Lists.
  2. Add a filter for Tag = compliant and click + to save the list.
  3. Repeat for Tag = non-compliant.

You now have two clean lists. Send marketing emails and SMS to compliant only. Use the non-compliant list to follow up for explicit opt-in or to suppress them entirely.

Frequently Asked Questions

Does Sparkforge make my forms GDPR compliant by default?
No. The platform gives you the tools (consent checkbox, tagging, suppression) but you are responsible for the wording of your consent statement and how you handle the data. Have a privacy attorney review your statement.
Can I send the same workflow to multiple forms?
Yes. Add additional Form Submitted triggers to the same workflow, one per form, and each will run through the same If/Else logic and tagging.
What happens if a contact uses the form a second time and changes their answer?
The most recent submission overwrites the custom field value, and the workflow re-runs, so the contact's tag updates accordingly. Build your messaging logic against the tag, not the field directly.
Can I require consent on existing forms without rebuilding them?
Yes. Open the form, add the custom checkbox field, mark it required, save, and republish. Embedded forms update automatically once the form is republished.
