How to Set Up Email Notifications in Sparkforge Forms and Surveys

By Sparkforge Support Team ·Last reviewed May 3, 2026

Sparkforge sends email notifications to your team when a form or survey is submitted, and an Auto Responder sends a confirmation back to the submitter. Both are toggled from the bell icon in the form editor.

Email notifications fire whenever someone submits a form or survey, so your team sees the lead in real time without checking the dashboard. Auto Responder works alongside it to send the submitter a confirmation email, optionally with a copy of their answers.

What email notifications do

  • Instant alerts the moment a form or survey is submitted.
  • Multiple recipients so the right people get notified at once.
  • Custom subject, sender name, and reply-to for clean, on-brand messages.
  • Auto Responder to acknowledge the submitter automatically.

Find the notification panel

  1. Go to Sites → Forms (or Sites → Surveys) from the left nav.
  2. Open an existing form or click Add Form to create a new one.
  3. In the editor, click the Bell icon in the secondary bar to open the Form Notification panel.

Configure email notifications

  1. Toggle Email Notification on.
  2. Subject: leave blank to use the form name, or write your own (custom fields supported).
  3. Email (To): one or more addresses; each becomes a tag.
  4. Reply-to Email: where replies should land.
  5. Sender Name: defaults to the location/agency name if blank.
  6. Save.

Heads up: notifications consume email credits. Make sure your account has credits available.

Configure Auto Responder

  1. Open the Form Notification panel and toggle Auto Responder on.
  2. Set Subject (defaults to the form name), Reply-to Email, and Sender Name.
  3. Save.

The Reply-To here only applies to the auto-responder going to the submitter. It does not change the team notification email.

View survey responses after a notification

Email notifications are alerts only and do not include full responses. To see what was submitted:

  1. Go to Sites from the left nav.
  2. Open the Surveys tab and click Submissions.
  3. Click any entry to see the full set of answers with timestamps.

Frequently Asked Questions

Can I send notifications conditionally based on form answers?
Not from the Form Notification panel. Native email notifications go out for every submission. For conditional routing, use a Workflow with the Form Submitted trigger and branch on the answer fields.
Do Auto Responder emails use email credits?
Yes. Both team notifications and Auto Responder emails draw from your email credit balance. If credits run out, neither will send until you top up.
If I list multiple emails in the To field and one is invalid, do the rest still get the notification?
Yes. Valid addresses still receive the email; invalid ones fail silently. Clean up the list periodically so you are not paying for failed sends.
Can I use merge fields like {{contact.email}} in the To field?
No. The To field only accepts static addresses. For dynamic recipients, build a Workflow triggered by the form submission and route the email through workflow actions.
Can I change the reply-to address per recipient?
No. There is one Reply-to for the team notification and one for the Auto Responder. Use Workflow email actions if you need per-recipient logic.
