Cancellation and Reschedule Rules on the Sparkforge Booking Widget
Set a cutoff window after which the cancellation and reschedule links on the booking widget stop working. Bookers receive the links in their calendar invite or via workflow custom values. Leaving the window blank means the links never expire.
Overview
The Cancellation & Reschedule Policy controls how long bookers can cancel or reschedule from the booking widget. Once the window closes, those links stop working and the booker has to contact you directly. Useful for blocking last-minute changes.
Configure
- Calendar Settings > pick the calendar.
- Open Notifications and Additional Options.
- Under Cancellation and Reschedule Policy, turn on Allow Cancellation of Meeting and Allow Rescheduling of Meeting.
- Set the cutoff window — how long before the appointment the links should stop working. Leave blank to let the links work indefinitely.
With this on, cancellation and reschedule links are added to the additional notes section and included in the calendar invite. They expire on the schedule you set.
How bookers get the links
The additional notes section is included in the calendar invite, so bookers see the cancellation and reschedule links there.
You can also use these custom values in workflows:
{{appointment.reschedule_link}}{{appointment.cancellation_link}}
These custom values only render when the workflow is triggered by an appointment-based event — Appointment Status or Customer Booked Appointment. Triggers without appointment context (form submissions, stage changes) leave them blank.
