Zoho to Sparkforge Migration Guide

By Sparkforge Support Team ·Last reviewed May 3, 2026

Migrate Zoho to Sparkforge by exporting from each Zoho module, prepping CSVs, and rebuilding pipelines, calendars, forms, contracts, sites, automations, and analytics inside Sparkforge.

This guide moves data and functionality from Zoho's app suite into Sparkforge. Zoho exports cap at 200,000 records per module; downloads stay live for 7 days. Run exports early and stage CSVs before each import.

Components to migrate

  1. Contacts
  2. Users
  3. Calendars (Zoho Bookings)
  4. Opportunities and pipelines (Zoho Deals)
  5. Forms (Zoho Forms)
  6. Contracts (Zoho Contracts)
  7. Sites (Zoho Sites)
  8. Automations
  9. Analytics

Migrate contacts

Export from Zoho

  1. Convert mailing lists and segments into tags before export — these become migration markers in Sparkforge.
  2. Go to Setup > Data Administration > Export. Click Start an Export > Module > Contacts.
  3. Choose fields to export. Include email or phone for valid Sparkforge import.
  4. Download from Export History when status changes to Completed.

Prep the CSV

  • Date fields in YYYY-MM-DD format.
  • UTF-8 encoding.
  • Remove emojis, stray line breaks, and unusual characters.
  • Pre-create matching custom fields under Contacts > Settings > Custom Fields.

Import into Sparkforge

  1. Go to Contacts > Import Contacts.
  2. Upload the CSV and map every field.
  3. Apply a tag like "Zoho Import" for traceability.
  4. After import, recreate smartlists and mailing lists from your migration tags.
  5. Cross-check totals against the Zoho export.

Migrate users

Sparkforge users are added manually. Use Zoho's user export as the source of truth.

  1. Export users from Setup > Data Administration > Export > Module > Users.
  2. Confirm every user has a unique email and group them by team and access level.
  3. In Sparkforge, go to Settings > Team. Click + Add Employee.
  4. Set User Type and Role (agency or subaccount, admin or user).
  5. Configure permissions and assign subaccounts.
  6. Clone permissions across users on the same team.

Migrate calendars

Zoho Bookings appointments need to be exported as backup; calendars themselves get rebuilt in Sparkforge.

  1. Export appointments from Setup > Data Administration > Export > Module > Appointments.
  2. In Zoho Bookings, document each workspace's services (calendars), users, and integrations.
  3. In Sparkforge, go to Subaccount Settings > Calendars and recreate each calendar with matching reminders, users, and meeting locations.
  4. Connect Google or Outlook under Calendars > Connections.
  5. Set recurrence rules manually for recurring events.
  6. Test booking flows to confirm parity with Zoho.

Migrate opportunities and pipelines

  1. Export Zoho Deals from Setup > Data Administration > Export > Module > Deals.
  2. In Sparkforge, go to Opportunities > Pipelines > + Add Pipeline and recreate stages to match.
  3. Add custom opportunity fields that mirror Zoho.
  4. Prep the CSV to Sparkforge's import format.
  5. In Opportunities, open the target pipeline, click the 3-dot menu, and import. Map fields from the Zoho file.
  6. Spot-check imported data for field mapping issues.

Migrate forms

  1. In Zoho Forms, export form responses as CSV for backup. Save the form structure where available.
  2. In Sparkforge, go to Sites > Forms and rebuild each form with matching custom fields and labels.
  3. Configure form actions, notifications, and conditional logic to match Zoho behavior.

Migrate contracts and documents

  1. In Zoho, open Contracts and download copies of each contract structure.
  2. In Sparkforge, go to Payments > Documents & Contracts and rebuild each document with custom fields, text, and signatures.
  3. Set up document actions, send rules, and signing order to match Zoho.

Migrate websites

Zoho Sites has no full export. Save HTML, CSS, and media manually, document SEO and page names, then rebuild in Sites > Funnels or Sites > Websites in Sparkforge.

Move the domain

  1. In Zoho Directory, open the Admin Panel and the Custom Domain tab. Click Delete on the domain.
  2. In Sparkforge, go to Settings > Domains > Add Domain and add the domain to your new site.

Migrate automations

  1. Document Zoho's workflow rules under Setup > Automation > Workflow Rules.
  2. Document autoresponders under each module's More Actions menu.
  3. Document lead scoring rules under Setup > Automation > Scoring Rule.
  4. In Sparkforge, recreate engagement scoring under Subaccount Settings > Manage Scoring.
  5. Rebuild triggers and actions under Automation > Workflows, including autoresponders, sequences, and task assignments.

Migrate analytics

Zoho Analytics has no direct migration target. Export key reports and recreate equivalents using Sparkforge dashboard widgets (Pro plan only) and the standard reporting features.
