Kartra to Sparkforge Migration Guide

By Sparkforge Support Team ·Last reviewed May 3, 2026

Plan first, export contacts and course media from Kartra, then rebuild offers, automations, calendars, websites, and funnels in Sparkforge. Run both platforms in parallel during the cutover, then cancel Kartra.

Moving from Kartra to Sparkforge means rebuilding your contacts, courses, offers, automations, calendars, and pages on the new platform. There is no one-click importer; the process is methodical, but it is straightforward when you do it in order.

Phase 1: Plan the migration

Audit your Kartra setup

  • List every key asset: leads, contacts, automations, courses, websites, funnels, offers.
  • Document automation rules, sequences, and communication flows.
  • Estimate data volume — videos, documents, contacts, sequences.

Set objectives

Decide what the migration is for. Better automation? Built-in CRM? Better pricing? Prioritize the features that keep your operations running and migrate those first.

Back up everything

Export contacts, emails, course materials, and offer settings from Kartra. Store the backup somewhere safe before you touch anything.

Phase 2: Export contacts

  1. In Kartra, go to Communications > Leads.
  2. Select the leads you want to export.
  3. From the dropdown, choose Export to download a CSV. Include email, phone, and custom fields.
  4. Open the CSV and check for missing fields.

Prepare the CSV

  • Format dates as YYYY-MM-DD.
  • Use UTF-8 encoding for special and accented characters.
  • Strip line breaks, emojis, and empty columns.

Import into Sparkforge

  1. In Sparkforge, go to Contacts > Import Contacts.
  2. If Kartra had custom fields, create matching ones first under Contacts > Settings > Custom Fields.
  3. Upload the CSV and map first name, last name, email, phone, and custom fields.
  4. Apply tags and lists to mirror Kartra's segmentation. A Kartra Import tag helps you find the imported batch later.

Phase 3: Migrate courses

  1. In Kartra, open MyMemberships and download every video lesson and PDF.
  2. Document any quizzes or surveys — you will rebuild them in Sparkforge.
  3. Group exported content by module so the rebuild is faster.
  4. Confirm media is in compatible formats: MP4 for video, PDF for documents.
  5. Run the migration during off-hours to limit learner disruption.

Phase 4: Rebuild offers and automations

Recreate offers

  1. List every active offer in Kartra with its pricing and payment gateway.
  2. In Sparkforge, go to Funnels & Websites > Products.
  3. Recreate each offer, set up the payment gateway, and assign access to the right contacts or groups.

Rebuild automations

  1. Document Kartra's email sequences, tags, and trigger-based actions.
  2. In Sparkforge, go to Automation > Workflows.
  3. Recreate each flow using triggers, conditions, and actions that map to your Kartra logic.
  4. Test every workflow with a test contact before turning it on.

Phase 5: Migrate calendars

  1. Compile your existing Kartra events: appointments, bookings, recurring sessions.
  2. In Sparkforge, go to Sub-account Settings > Calendars and create matching calendars.
  3. Open Calendars > Connections to link Google or Outlook for two-way sync.
  4. Set up recurring appointment rules manually.
  5. For team distribution, create round-robin calendars. For group sessions, configure class schedules.
  6. Compare side-by-side with Kartra and confirm time zones, availability, and event details.

Phase 6: Rebuild websites and funnels

  1. Use Sparkforge's Website Builder to recreate sales pages, landing pages, and checkout pages.
  2. Move text, images, video, and other media into the new pages.
  3. Go to Sites > Funnels and rebuild each funnel: landing pages, opt-in forms, email sequences.
  4. Use the drag-and-drop editor to match the original layout where it matters.

Phase 7: Validate and train

  1. Cross-check that contacts, course content, and automations all came across.
  2. Walk every workflow through a test run.
  3. Train your team on Sparkforge's CRM, automation, and course tools.
  4. Bookmark the help center for ongoing reference.

Phase 8: Decommission Kartra

  1. Run both platforms in parallel during the cutover so nothing breaks for customers.
  2. Phase Kartra out gradually as you confirm Sparkforge handles each function.
  3. Take a final data backup.
  4. Cancel your Kartra subscription through their official process.
  5. Document what worked, what slowed you down, and what to monitor in the first 30 days.

If you would rather hand the migration to someone else, the Sparkforge team can run the cutover for you.

Frequently Asked Questions

Is there a one-click Kartra to Sparkforge importer?
No. Contacts come across as a CSV; courses, offers, automations, calendars, and pages need to be rebuilt. The platforms are similar enough that the rebuild is straightforward.
How long should I run Kartra and Sparkforge in parallel?
Long enough to confirm every customer-facing flow works in Sparkforge — typically two to four weeks for most service businesses.
Will my Kartra checkout URLs keep working after I switch?
No. Once you cancel Kartra, those URLs stop. Update any external links to point at the new Sparkforge funnel pages before cutover.
Can the Sparkforge team help with the migration?
Yes. Talk to an expert and they can scope a migration package for course content, automations, and funnel rebuilds.
What if my Kartra contact CSV has special characters?
Save the file as UTF-8 before importing. That handles accented characters, currency symbols, and other non-ASCII text correctly.
