How to Migrate from HubSpot to Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

Export HubSpot CRM data, marketing assets, and workflows, then rebuild them in Sparkforge under Contacts, Opportunities, Automation, and Marketing. Run both in parallel before cancelling HubSpot.

This guide covers the full HubSpot-to-Sparkforge migration: CRM data, deals and pipelines, workflows, email campaigns, landing pages, and calling and SMS. Run both platforms in parallel until everything is verified.

Before you start

Catalogue everything you use in HubSpot — CRM, workflows, marketing campaigns, calling, SMS, e-commerce. Document active workflows, pipelines, and campaigns. Estimate data volume so you can plan the import order.

Set clear migration goals: better automation, lower cost, unified comms. Then prioritise the features that need to migrate first.

Export everything from HubSpot before changing anything live, and back the exports up.

Migrate CRM data

Export from HubSpot

  • Contacts and Companies: Contacts > Contacts and CRM > Companies. Export as CSV.
  • Deals and Pipelines: Sales > Deals. Export pipelines and associated deals.
  • Marketing assets: emails, landing pages, forms, workflows.
  • Products and Invoices: product catalogue plus any invoices generated through HubSpot's payment tool.

Import into Sparkforge

  1. Go to Contacts > Import Contacts, upload the CSVs, and map fields (first name, last name, email, etc.).
  2. Set up new pipelines under Opportunities > Pipelines matching the HubSpot structure. Recreate deals manually.
  3. Recreate products under Payments > Products and set up invoices and payment links using Sparkforge's invoicing tool.

Migrate workflows and automations

List every active HubSpot workflow with triggers, actions, and delays. Note the complexity — simple drip sequences are quick to rebuild; multi-branch logic takes longer.

In Sparkforge, go to Automation > Workflows. Set up triggers equivalent to HubSpot's (form submissions, contact updates, etc.), rebuild actions (send email, SMS, tag, update deal stage), and configure delays and conditional logic.

Run tests on every workflow before activation.

Migrate marketing campaigns

Email

Save HTML copies of your HubSpot email templates. In Sparkforge, go to Marketing > Email Campaigns and rebuild or import the templates so they match your existing designs.

Landing pages and forms

Download the HTML for your HubSpot landing pages, then rebuild them in Sparkforge under Sites > Landing Pages. Wire forms and CTA buttons to the matching Sparkforge workflows.

Campaign settings

Link emails, landing pages, and forms to the parent campaign in Sparkforge. Assign goals, budgets, and tracking settings.

Migrate calling and SMS

If HubSpot used Twilio, connect the same Twilio account to Sparkforge under Settings > Phone Numbers. Build SMS and call automation under Automation > Workflows.

Configure the unified inbox under Conversations > Inbox. Connect email, SMS, and Facebook Messenger so every channel routes correctly. Test each channel.

Final checks

  • Cross-check Sparkforge records against HubSpot exports.
  • Validate every workflow, automation, and campaign is operational.
  • Train the team on Sparkforge — focus on what differs from HubSpot.

Decommission HubSpot

Run HubSpot and Sparkforge in parallel during the transition. Gradually phase HubSpot out as Sparkforge takes over. Back up HubSpot one last time, then cancel through HubSpot's process. Keep monitoring the new setup post-migration.

Frequently Asked Questions

Can I import HubSpot deals directly into Sparkforge?
Pipelines are recreated manually in Sparkforge under Opportunities > Pipelines. Deals can be recreated by hand or imported via CSV if you export them from HubSpot. Contact and company records import via CSV.
What happens to my HubSpot workflows?
Document them, then rebuild in Sparkforge under Automation > Workflows. Triggers, actions, and conditional logic translate closely, but the build is manual. Test every workflow before activating.
Do I need a new Twilio account for Sparkforge?
No. Connect your existing Twilio account to Sparkforge under Settings > Phone Numbers. Existing numbers can be ported or kept on the same Twilio sub-account.
How does Sparkforge pricing compare to HubSpot Pro?
Sparkforge Standard is $465/mo with unlimited users and no per-seat fees. HubSpot Marketing Hub Professional starts around $800/mo and adds per-contact charges as the list grows.
Should I cancel HubSpot the day I switch?
No. Run both in parallel until contacts, pipelines, workflows, campaigns, and calling are all verified in Sparkforge. Back up HubSpot once more, then cancel.
