Log External Calls into the Sparkforge CRM with Workflows

By Sparkforge Support Team ·Last reviewed May 3, 2026

Pair the Log External Call action with an Inbound Webhook trigger to route inbound and outbound third-party call events into the CRM, including recordings, so calls show up in the contact's Conversations.

The Log External Call workflow action posts call events from third-party phone systems into the Sparkforge CRM. Pair it with the Inbound Webhook trigger to feed call data, including recordings, into each contact's Conversations panel.

What the action does

This action writes a call record on the matched contact. Direction, timestamp, numbers, status, and recording URL are all captured, which keeps every team member on the same page about customer touch points.

How to set it up

  1. Configure the trigger. Add an Inbound Webhook trigger so your phone system can POST call data to Sparkforge.
  2. Branch by direction. Add an If/Else branch on the webhook's direction field to separate inbound and outbound flows.
  3. Identify the contact. In each branch, add the Create Contact action and map the Phone field. For inbound, map to the webhook's From Number. For outbound, map to the webhook's To Number. Sparkforge will create or match the contact based on that number.
  4. Add Log External Call. Drop in the action after Create Contact.
  5. Map fields. For each of Direction, Date, To, From, Call Status, and Attachment, click the custom values icon and pick the matching value from the Inbound Webhook trigger.
  6. Publish. Once published, calls land in the contact's Conversations section.

Why route external calls into the CRM

  • Single source of truth for every customer touch point.
  • Recordings stored against the contact, not in a separate phone tool.
  • Reporting and automation can use call events the same way they use SMS or email.

Frequently Asked Questions

Does the action work without an inbound webhook trigger?
It runs only when the webhook delivers call data. Without the trigger, there is no source for direction, numbers, status, and attachment.
How does Sparkforge match the call to a contact?
The Create Contact action matches by phone number. Inbound branches use the From Number; outbound branches use the To Number.
Can I include the call recording?
Yes. Map the Attachment field to the recording URL passed in the webhook payload, and it will appear in Conversations.
Why split inbound and outbound branches?
Phone matching differs by direction. Inbound calls match on the caller's From Number; outbound calls match on the dialed To Number.
What systems can post to the webhook?
Any third-party phone system that can call a webhook URL after a call ends. The format must match the fields you mapped in the workflow.
