Assign To User Workflow Action in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

The Assign To User action automatically assigns contacts to team members based on rules you set — round-robin, custom traffic splits, or single-user. Removes manual lead routing.

The Assign To User workflow action automatically assigns a contact to one or more team members. Use it for lead routing, support ticket distribution, or any time a contact needs an owner without someone manually picking who.

What it does

  • Single-user assignment: route every contact to one specific user.
  • Round-robin: distribute evenly across multiple users.
  • Custom traffic split: weight assignments based on capacity or seniority.

Add the action

  1. Open the workflow builder.
  2. Click + to add a new action.
  3. Select Assign To User.

Configure the action

Action Name

Give it a descriptive name (e.g. Assign to Agents in California) so it's easy to identify in the workflow canvas.

Select Users

Use the dropdown to pick one or more users.

  • Single user: all contacts go to that user.
  • Multiple users: distribution mode unlocks (round-robin or custom split).

Distribution method

MethodBehaviorWhen to use
Round-robinEach contact rotates to the next user in the list.Even workload across the team.
Custom traffic splitSet a percentage per user. Contacts route by weight.Senior reps get more leads, or part-timers get less.

Use cases

  • Sales lead routing: distribute new leads to the sales team based on territory or capacity.
  • Support ticket assignment: auto-assign incoming tickets to on-call reps.
  • Geo-based assignment: route contacts to the right regional team.
  • Onboarding handoff: automatically assign new customers to a customer success rep.

Tips

  • Pair this action with a filter step so only qualifying contacts get assigned. Don't burn round-robin slots on bad leads.
  • Use the contact's source, tags, or location as upstream conditions.
  • Combine with notification actions (SMS or email to the assigned user) so they know a new contact landed.
  • For high-volume workflows, audit assignment counts monthly to make sure the split still matches team capacity.

What it solves

  • Automated assignments: no more manual routing.
  • Fair distribution: round-robin keeps the workload balanced.
  • Custom allocation: traffic splits handle uneven team capacity.
  • Accountability: every contact has a clear owner.

Frequently Asked Questions

What's the difference between round-robin and custom traffic split?
Round-robin rotates evenly through the user list. Custom traffic split lets you assign percentages per user — senior reps can take 60%, juniors 40%, etc.
Can I assign a contact to multiple users at once?
The action picks one user per contact based on the distribution rule. For multi-user visibility, use a tagging or notification action alongside the assignment.
How do I make sure only qualified leads get assigned?
Add an If/Else filter upstream of the Assign To User step. Only contacts that pass the filter reach the assignment, so round-robin slots aren't wasted on bad leads.
Does the assigned user get notified automatically?
Not by default. Add a notification action — SMS or email to the assigned user — right after the assignment step so they know a contact landed in their queue.
Can I rebalance the traffic split later?
Yes. Open the action and update the percentages. New contacts respect the new split immediately. Past assignments don't change.
