How to Use the Update Opportunity Action in Sparkforge Workflows

By Sparkforge Support Team ·Last reviewed May 3, 2026

The Update Opportunity action modifies an existing deal in your CRM pipeline — changing stage, value, status, source, or name — based on workflow logic. It needs an opportunity in context, either from an opportunity-based trigger or a prior Find Opportunity step.

The Update Opportunity workflow action modifies an existing deal record. Use it to move opportunities between stages, change the value, swap pipelines, or update the status — without manual edits.

What this action does

Update Opportunity changes fields on a deal that already exists. It does not create new opportunities. The action only runs when there is an opportunity in context — either from an opportunity-based trigger (like Opportunity Status Changed) or from a preceding Find Opportunity step.

Common uses:

  • Move deals to the correct stage based on contact behavior
  • Update deal value when a contact engages further
  • Reassign deals to a different pipeline (renewals, upsells)
  • Update opportunity name with merge fields for context

How to configure it

1. Open the workflow builder

Go to Automation → Workflows. Click + Create Workflow to start fresh, or open an existing workflow.

2. Pick a trigger that gives you an opportunity

The simplest path is the Opportunity Status Changed trigger — it puts the opportunity directly in context. Other triggers (tag added, form submitted, etc.) work too, but you will need to add a Find Opportunity step first to locate the right deal.

3. Add the Update Opportunity action

Click the + below your trigger. Search for Update Opportunity in the Opportunity section of the action list.

4. Name the step

Use a clear label like Move to Proposal or Update Deal Info. The name is internal-only and helps you scan workflows with multiple steps.

5. Decide on backward stage movement

By default, opportunities can only move forward or stay in place. Toggle Allow Opportunity to Move to Any Previous Stage ON if you need to revert a deal that advanced too early.

6. Ignore the Duplicate Opportunity toggle

The Duplicate Opportunity toggle inside this action does not create new opportunities. Update Opportunity always updates an existing record. The toggle only links you to Settings → Business Profile where you can enable Allow Multiple Opportunities per Contact for use elsewhere.

7. Add the fields you want to change

Click Add field and pick what to update:

  • Pipeline — moves the deal into a different process
  • Pipeline Stage — sets the current stage in that pipeline
  • Status — Open, Won, or Lost
  • Opportunity Source — accepts a fixed value or merge field like {{contact.source}}
  • Opportunity Value — fixed amount or dynamic via {{contact.quoted_price}}

8. Save the action

Click Save Action when you have all the fields configured. The workflow applies these changes whenever the trigger fires.

Things that will trip you up

If no opportunity is in context, the action silently skips. Add a Find Opportunity step earlier in the workflow if your trigger isn't opportunity-based.

Creating an opportunity earlier in the same workflow does not automatically pass that opportunity to a later Update step. Either pass the new opportunity ID via custom value or use a Find Opportunity step to relocate it.

Update Opportunity cannot change the deal owner. Use the Add Owner to Opportunity action for that.

Frequently Asked Questions

What happens if there is no opportunity in the workflow when this action runs?
The action is skipped silently. Make sure the workflow is triggered by an opportunity event or includes a Find Opportunity step before this one.
Can I move an opportunity backward in the pipeline?
Yes, but only if you toggle Allow Opportunity to Move to Any Previous Stage to ON. By default deals can only move forward or stay in place.
If I create an opportunity earlier in the workflow, will Update Opportunity target that one?
No. The new opportunity isn't automatically passed to later steps. Use a Find Opportunity action to locate it, or pass the ID through a custom value.
Can Update Opportunity change the deal owner?
No. Use the Add Owner to Opportunity action for ownership changes — Update Opportunity only handles fields like pipeline, stage, status, value, source, and name.
Does Update Opportunity ever create duplicate deals?
No. Even with the Duplicate Opportunity toggle enabled, this action always updates one existing record. The toggle only points you toward broader duplicate-handling settings elsewhere in the platform.
