Save WhatsApp Media to Contact Documents in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

Add to Documents stores inbound and outbound WhatsApp attachments inside a contact's Documents folder for one year, so files do not disappear when Meta's native media expiry hits.

WhatsApp media (images, videos, PDFs, audio, and other files) expires on Meta's side. Sparkforge's Add to Documents action saves any attachment to the contact's Documents folder for one year, matching the existing Email and SMS save flow.

What it does

  • Stores WhatsApp message attachments inside the contact's Documents folder.
  • Available on every inbound and outbound WhatsApp media message.
  • Retains saved files for one year from the time of saving.
  • Surfaces a success or failure toast so you know if the save worked.

Requirements

  • Active WhatsApp channel connected to Sparkforge.
  • User access to Conversations and the contact's Documents.
  • The original WhatsApp file must not have already expired on Meta's side.

Supported media and limits

  • Common WhatsApp types: images, videos, PDFs, audio, and other file attachments.
  • Available on inbound and outbound media messages in Conversations.
  • If a file expired on WhatsApp before you save it, the action will fail.

How to save WhatsApp media

  1. Open Conversations and pick a thread with WhatsApp media.
  2. On the media message, open the message actions (kebab/ellipsis).
  3. Click Add to Documents.
  4. Watch for the success toast.
  5. Open Contacts → [Contact Name] → Documents to confirm the file is there.

Troubleshooting

  • Media expired: Ask the contact to resend, then save promptly.
  • Permission denied: Check the user's access to Conversations and Contact Documents.
  • File type or size issue: Verify the file meets supported limits.
  • Network or transient error: Retry after a few seconds.

Yes. The action is available on every inbound and outbound WhatsApp media message in Conversations.
