How to Send Images, Video, Audio, and Documents via WhatsApp in Sparkforge
WhatsApp media (image, video, audio, document) only sends inside the 24-hour customer service window. Build a workflow that runs the WhatsApp Customer Service Window Check first, then a WhatsApp send action with your From Number and Media Type.
WhatsApp Business rules let you send media — images, video, audio, and documents — only inside the 24-hour customer service window after a contact replies. In Sparkforge, that means every WhatsApp media workflow needs a window check before the send.
Build the workflow
- Open the Automation tab.
- Click Create Workflow and choose Start from Scratch.
- Click the + icon to add a step.
- Search for WhatsApp: Customer Service Window Check and add it.
- Under the Open branch, click + to add the next step.
- Add the WhatsApp send action and choose:
- From Number — a WhatsApp number connected to your account
- Media Type — image, video, audio, or document
- Attach or reference the media file.
- Click Save Action.
Publish the workflow once the trigger and steps are in place.
Why the window check matters
WhatsApp blocks template-free media outside the 24-hour window. The Customer Service Window Check prevents the workflow from firing the send when the window is closed, so you avoid failed messages and policy issues.
