How to Manage and Merge Duplicate Contacts in Sparkforge
The Duplicate Management & Merge Tool finds duplicate contacts by email, phone, or name and merges up to 10 records at a time into one master, preserving notes, tasks, tags, and conversations.
Duplicate contacts skew reports, double up on outreach, and burn sender reputation. The Duplicate Management & Merge Tool scans your Contacts list for matches by email, phone, or name, groups them, and merges up to 10 into one master record without losing notes, tasks, tags, emails, or custom fields.
Why it matters
- Fast deduplication — clean records in minutes; no CSV exports.
- Unified history — consolidate messages, notes, tags, and custom fields for a single contact view.
- Better deliverability — stop sending the same email twice to the same person.
- Smarter automation — workflows and reports run against accurate data.
- Less support friction — fewer fragmented or conflicting records.

How to merge duplicates
Step 1: Open the tool
Only Admins can use this feature. It works on both the classic and new Contacts list views.
- Go to Contacts in your sub-account.
- Click the three-dot menu in the top right.
- Pick Manage Duplicates.
Step 2: Find duplicates
- Pick a Find By criterion: Email (recommended default), Phone, or Name.
- Click Find Duplicates.
- Sparkforge scans the database and lists matching groups.
Step 3: Review each group
- Click the down arrow on a group to expand it.
- Click Review on any pair to see conflicting fields side-by-side.
- Pick which value to keep for each field. Combine tags as needed.
- Set the primary email and primary phone.
- Confirm no duplicate opportunities will be created.
- Click Merge Contacts.
Step 4: Reject false matches
For groups that aren't really duplicates, click Reject and confirm. The rejected email, phone, or name is excluded from future scans. This cannot be undone.
Step 5: Pick a master and merge
- Select up to 10 records (the tool flags 10/10 when full).
- Choose one as the Master — it keeps the primary name, email, and phone.
- All related data from the other records (tasks, opportunities, notes, products) merges into the master.
- Click Merge, check the acknowledgment box, then click Merge Duplicates.
Best practices
- Run scans weekly on high-volume accounts; monthly on lower-volume ones.
- Always check the Smart Merge Preview before confirming.
- Use Reject sparingly — it permanently excludes that match.
- Standardize import and form data entry to reduce future duplicates.
Troubleshooting
| Issue | Cause | Fix |
|---|---|---|
| No duplicates found | Narrow scan criterion | Switch from Email to Phone or Name and rescan. |
| Limit reached (10/10) | Too many records selected | Merge the first 10, then return for the next batch. |
| Merge button disabled | Acknowledgment not checked | Check the I-understand box before clicking Merge. |
| Missing merge option | Not an Admin | Ask an Admin to grant access. |
If a workflow appears to stop after a merge, open the workflow's Execution Logs to confirm whether execution transferred to the master or stopped because the master was already enrolled.
