How to Use Smart Lists in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

Smart Lists in Sparkforge are dynamic contact segments that update automatically as contacts meet or stop meeting your filter conditions. Create them under Contacts > Smart Lists and use them as triggers in workflows.

A Smart List is a saved set of contact filters that updates in real time. As contact data changes, Smart Lists add or remove contacts automatically — no manual list maintenance required. Find them under Subaccount > Contacts > Smart Lists.

Why use Smart Lists

  • Save time — segmentation is automatic, not manual.
  • Better targeting — group contacts by behavior, lead stage, or engagement.
  • Cleaner CRM — keep records organized and searchable.
  • Workflow triggers — pipe Smart Lists into automation for personalized outreach.

How Smart Lists work

  • Real-time updates — contacts move in or out as tags, custom fields, engagement, or opportunity stages change.
  • Multi-filter logic — combine conditions like "opened an email in last 30 days" AND "has an open invoice."
  • Workflow integration — use a Smart List to trigger automated sequences.

Create a Smart List

  1. Go to Contacts > Smart Lists and click More Filters.
  2. Pick one or more filters from the dropdown.
  3. Enter the filter values and click Apply.
  4. Add more filters with the AND option.
  5. Click Save as Smart List at the bottom of the screen.

Manage existing Smart Lists

Open Contacts and select a Smart List from the top tabs. The active filters display on the right side.

  • Edit a filter — click the pencil or dropdown.
  • Remove a filter — click the trash icon or X.
  • Save changes — click the Save icon.
  • Duplicate, share, rename, or delete — use the icons under Manage Smart Lists at the top right.

Example: contacts not touched in 90 days

  1. Open Smart Lists > All.
  2. Click More Filters and add the Last Activity filter.
  3. Set the condition to More Than 90 days.
  4. Add the Last Activity column to the view.
  5. Click the + icon to name and save the list.

Reorder columns

Smart Lists support drag-and-drop column ordering:

  1. Open the Smart List you want to edit.
  2. Open the column manager near the top of the table.
  3. Drag columns into the order you want.
  4. Save the Smart List again to persist the new layout.

If you don't save after reordering, the next visit reverts to the previously saved layout.

Frequently Asked Questions

Can I manually add a contact to a Smart List?
No. Smart Lists are dynamic — contacts join when they meet the filter conditions. Add the relevant tag or update the field instead.
Can users without settings access manage Smart Lists?
Not currently. Settings access is required to manage Smart Lists. The change is on the roadmap.
Are Smart Lists shared across all users in the account?
Smart Lists are user-level by default. Push them globally to make them visible to everyone in the account.
If I schedule an email to a Smart List, when is the recipient list calculated?
At send time. New contacts that meet the filter before send are included; contacts that no longer match are excluded.
How do I show 100 contacts per page instead of 20?
Use the per-page selector in the bottom-right of the list view and choose 100.
