Customize the Onboarding Email for New Sub-Account Users

By Sparkforge Support Team ·Last reviewed May 3, 2026

Open SaaS Configurator → Advanced Settings → Customize Welcome Email, pick the sub-account that stores the template, and design it in the email builder.

SaaS agencies running Sparkforge can replace the default welcome email sent to new sub-account users with their own branded version.

Setup

  1. Go to SaaS Configurator → Advanced Settings → Customize Welcome Email → Customize Now.
  2. Select the sub-account where the template will live, then click Customize Email.
  3. In the email builder, edit the layout, add custom values, and apply your brand theme.
  4. Click Save.

Important: don't delete the source template

The template lives in the sub-account you picked the first time you saved it. If you delete that template at its source, the customization is lost and onboarding emails fall back to the default. Keep the template in place even if the sub-account isn't actively used for anything else.

Frequently Asked Questions

Where is the customized welcome email stored?
In the sub-account you select the first time you save the template. That sub-account becomes the source of truth — don't delete the template there.
What happens if I delete the welcome email template?
Customization is lost and Sparkforge falls back to the default onboarding email for all new sub-account users.
Can I use custom values in the welcome email?
Yes. The email builder supports custom values so you can personalize with the user's name, sub-account details, and other dynamic fields.
Does this apply to existing users or only new ones?
Only new sub-account users. The customized template is sent at onboarding.
