How to Create and Use Custom Fields in Sparkforge
Custom Fields store extra data on contacts or opportunities — lead type, budget, preferred contact method, and more. Build them in Settings → Custom Fields, then use them in forms, surveys, automations, and pipeline views.
Default fields like name, email, and phone don't cover everything you track on a lead. Custom Fields fill the gap — and they show up in forms, automations, Smart Lists, and pipeline views.
Why use Custom Fields
- Capture business-specific data — lead type, budget range, preferred contact method, source.
- Use across the platform — forms, surveys, workflows, pipelines, and message merge tags.
- Personalize automations — branch and merge field values into texts, emails, and internal notes.
- Segment cleanly — power Smart Lists and workflow filters with custom data.
- Stay tidy — group related fields under folders for cleaner record layouts.
- Surface key data — display custom values directly on opportunity cards.
Contact fields vs. Opportunity fields
Pick the object before you build the field. The choice can't be reversed.
- Contact custom fields attach to the person. Use them for lead type (buyer vs. seller), birthday, preferred contact method, or referral source. They appear on the contact record and inside forms, surveys, contact workflows, Smart Lists, and merge tags.
- Opportunity custom fields attach to a deal. Use them for budget range, urgency, timeline to close, or property type. They appear inside opportunity records, opportunity workflows, pipeline views, and deal-level reporting.
Organize fields with folders
Folders show up as sections inside the record layout, which keeps long contact and opportunity views readable.
- Go to Settings > Custom Fields.
- Use the object selector at the top to pick Contact or Opportunity.
- Open the Folders tab.
- Click Create folder, name it, and click Create.
Then assign individual fields to the folder when you create or edit them.
Create a Custom Field
- Open Settings > Custom Fields.
- Use the object selector to choose the object.
- Stay on the Fields tab.
- Click Create field in the top right.
- Pick a field type — Short Text, Long Text, Dropdown, Date Picker, Phone, Email, Radio, Checkbox Group, URL, and more.
- Enter the field name and pick a folder.
- Use the Live preview panel to confirm how it will render.
- Click Create custom field.
Manage existing fields
- Switch between objects with the selector at the top of the Custom Fields page.
- Sort the field table by column to find fields fast.
- Use the Folders tab to create, rename, or reorder folders.
- Field-state icons in the row indicate special states (required, hidden, system-managed, etc.).
Frequently Asked Questions
Can I convert a contact field into an opportunity field?
No. Field object type is fixed at creation. Recreate the field under the correct object and migrate the data with an import or workflow if you have to.
What field types can I create?
Short Text, Long Text, Dropdown (single and multiple), Date Picker, Phone, Email, Radio Select, Checkbox Group, URL, and more.
Why doesn't my field show up inside a form or workflow?
Forms and contact workflows only see Contact fields. If the field is tied to the Opportunity object, it won't appear there — recreate it as a contact field.
Is there a limit on dropdown options?
The Dropdown (multiple) field comfortably supports 50+ options — no practical limit for normal use.
How do Custom Fields differ from Custom Values?
Custom Fields hold per-record data on contacts or opportunities. Custom Values hold reusable account-wide constants and dynamic tokens like {{location.name}} or {{right_now.year}}.
