Auto Follow-Up in Sparkforge Conversation AI
Auto Follow-Up lets a Sparkforge Conversation AI bot send timed follow-up messages when a contact stops responding, asks for a callback, or marks themselves busy. Messages can be AI-generated or written by you, and respect business hours and channel availability.
Auto Follow-Up keeps Sparkforge Conversation AI conversations moving without requiring a workflow for every drop-off scenario. The bot detects when a contact has gone inactive, asked for a follow-up, or marked themselves busy, then sends timed messages on its own.
What Auto Follow-Up does
It’s an action inside Conversation AI Bot Goals. The bot watches the conversation context and triggers follow-ups for three scenarios: stopped responding, marked busy, or requested a follow-up. You define the cadence, the message source (AI-generated or custom), and which workflows fire alongside.
Key behaviors
- Smart suppression. Skips follow-ups when the contact opts out, expresses disinterest, gets disqualified, or wraps up the conversation.
- Business-hour awareness. Sends only during configured active hours in either contact or business timezone.
- Dynamic channel switching. Moves from Live Chat to SMS, or from Facebook/Instagram/WhatsApp to SMS, when the original channel goes silent.
- Language matching. Sends in the contact’s preferred language when set.
- Visibility. Every scheduled follow-up shows in the Response Info panel.
Set up Auto Follow-Up
Step 1: Open the Conversation AI bot
- Log in to the sub-account.
- From the side menu, click AI Agents, then Conversation AI.
- Either create a new bot or click the three-dot menu beside an existing bot and select Edit.
Step 2: Open Bot Goals
- In the bot, click Bot Goals in the top nav.
- Scroll to Set Up Your Actions and click Auto Followup.
Step 3: Enable scenarios
Three scenarios are supported. Each takes up to five sequenced follow-ups.
Contact stopped responding
- Toggle Enable scenario on.
- For each sequence, set delay in minutes/hours/days.
- Choose Let AI Send the Message or toggle off and write a custom message.
- Optionally toggle Trigger a Workflow and pick the workflow.
- Click + Add Followup to add another sequence.
Contact marked as busy
Same configuration: delay, AI or custom message, optional triggered workflow.
Contact requested a follow-up
The first sequence delay is set from the contact’s requested time. Add more sequences as needed.
Step 4: Follow-Up Settings
Click Follow-Up Settings.
- Active hours. Toggle Set Active Hours for Followup, choose contact or business timezone, and set the time window (for example 9 AM to 6 PM). When disabled, follow-ups send at any time.
- Dynamic Channel Switching. Toggle on to let the bot move from an inactive channel to a reachable one (SMS, Facebook, Instagram, WhatsApp) automatically.
Save the panel.
Step 5: Save the bot
Click the global Save button to activate the follow-up actions.
Don’t trigger another follow-up through a workflow on top of this — it breaks the follow-up logic.
When Auto Follow-Up suppresses a message
The bot evaluates context before each scheduled send. It cancels follow-ups when the contact:
- Is disqualified (out of service area, not a fit).
- Opts out or shows disinterest (“Not interested,” “Stop texting”).
- Responds with frustration (“Leave me alone,” “This is spam”).
- Closes the conversation softly (“Thanks for the chat,” “Let me know if anything else”).
Channels and visibility
Auto Follow-Up runs across Live Chat, SMS, Facebook, Instagram, and WhatsApp. Pending follow-ups are listed in the Response Info panel so you can see what’s scheduled and why.
