Add Contact Info Bot Action in Sparkforge Conversation AI

By Sparkforge Support Team ·Last reviewed May 3, 2026

The Add Contact Info bot action captures details like address or business name during a Conversation AI chat and writes them to empty contact fields. The bot only asks for the data if your prompt explicitly tells it to.

The Add Contact Info bot action lets a Sparkforge Conversation AI bot capture details — addresses, business info, dates, custom fields — directly from the chat and save them to the contact record. Less manual data entry, cleaner CRM records, better personalization on follow-up.

What it does

  • Faster data capture: Collect details inside a natural conversation.
  • Cleaner CRM records: Save fields straight to the contact profile so your team does not re-type them.
  • Better personalization: Use captured data in subsequent responses, follow-ups, and appointment flows.
  • Flexible fields: Update standard fields and supported custom field types.

Only updates empty fields. The action does not overwrite existing values. Email and phone are handled automatically by Sparkforge, so this action is not needed for those two.

Step 1: open the agent

Go to AI Agents › Conversation AI › Agents List and open the agent you want to edit.

Step 2: open Bot Goals

Select the Bot Goals tab on the open agent.

Step 3: add a Contact Info action

Scroll to Setup your Actions and choose Contact Info.

Step 4: configure the action

  • Action Name: a label so you can recognize it later, for example "Update Contact's Date of Birth".
  • Which contact field to update: pick the field from the dropdown (name, business name, date of birth, etc.).
  • What to update in the field: a short description of what the AI should capture, for example "This is the birth date of the contact".
  • Output Example (custom fields only): at least 2 examples of valid values so the AI parses input correctly. For "What is your favorite food?" you could enter "Tacos" and "Hamburgers".

Click Save.

Step 5: update the prompt

The bot will only ask for the data if your prompt tells it to. Update the bot's Additional Information Prompt with explicit instructions.

Example for collecting name, email, phone, business name, and date of birth before booking an appointment:

###mandatory instruction: before booking an appointment always start the conversation by asking these questions one after another
1. Ask the customer his name
2. Ask the customer his email
3. Ask the customer his phone
4. Ask the customer his date of birth
5. Ask the customer his business name

Without this kind of instruction the bot will not ask, and the contact field will not be updated.

Frequently Asked Questions

How many contact fields can I add through this action?
Add Contact Info maps a limited number of fields per action. To capture more, trigger a workflow from Conversation AI and use Update Contact Field actions inside the workflow for unlimited fields.
Will the Add Contact Info action overwrite an existing value?
No. It only updates empty fields. To overwrite, use a workflow Update Contact Field action instead.
Why isn't the bot asking for the contact info I configured?
The action saves data only when the bot asks for it. Add explicit instructions to the bot's Additional Information Prompt telling it to ask the customer for those details.
Do I need this action to capture email and phone?
No. Email and phone are captured automatically. Use Add Contact Info for other standard fields and supported custom field types.
