Appointment Booking in Sparkforge Voice AI
Sparkforge Voice AI books appointments live on the call — either against one calendar or routed across multiple calendars based on caller intent. Calendar rules, buffers, and minimum notice are honored.
Voice AI in Sparkforge can book appointments during a live call: it offers open slots, collects missing details like an email, and confirms the booking without redirecting the caller to a link. You can run it on a single calendar or let it route across multiple calendars using intent-based selection.
What Voice AI Booking Does
- Books on the call instead of sending a link or scheduling a callback.
- Single or multi-calendar routing depending on how the agent is configured.
- Honors calendar rules — availability, buffers, minimum notice, and conflict handling all apply.
- Collects missing data like email so the booking record is complete.
Single vs. Multiple Calendars
Single Calendar
Use this when every caller should book the same appointment type — for example, one rep, one consult format, one service. You pick the calendar, then control how many days ahead the AI offers, how many slots per day, and the spacing between slots.
Multiple Calendars
Use this when callers might want different services, teams, or appointment types (demos, sales consults, new-patient intake, etc.). Voice AI analyzes the conversation and picks the best-fit calendar based on intent and your routing cues.
Example Intent Mappings
- “I’d like to schedule a demo” → Demo Calendar
- “I need to talk about pricing” → Sales Consultation Calendar
- “I’m a new patient, first visit” → New Patient Intake Calendar
The AI uses the full conversation, not just isolated keywords, and supports confidence and priority logic when more than one calendar could match.
Prerequisites
- A Voice AI agent created (or permission to create one).
- At least one Sparkforge booking calendar configured for the service you want to book.
- Calendar rules set: availability, duration, buffers, booking rules.
- Any external calendar connection (Google Calendar, Outlook) configured if you rely on it.
AI working hours and calendar availability are separate: working hours control when the agent answers calls; calendar settings control which times can actually be booked.
Setup
- In your sub-account, open AI Agents → Voice AI. Create a new agent or open an existing one.
- Complete the basic agent setup including phone and availability settings.
- In the Actions panel, click + New Action and choose Appointment Booking.
- Pick calendar mode:
- Single Calendar — select the calendar, then set offering days, slots per day, and hours between slots.
- Multiple Calendars — add eligible calendars, write clear descriptions and routing cues for each, and define fallback behavior for unclear requests.
- Save and test with a real call to confirm the right calendar is chosen and the time slots make sense.
