Workflow Notes, Action Notes, and Sticky Notes in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

Sparkforge gives workflows three types of notes: Workflow Notes for the whole flow, Action Notes on individual steps, and Sticky Notes pinned to the builder canvas. Use them to leave context for teammates and keep complex automations readable.

Workflows get hard to read fast — especially the ones built six months ago by someone else. Sparkforge gives you three note types so context stays inside the workflow instead of scattered across docs and Slack threads.

Sidebar overview

The workflow builder sidebar holds the new note tools next to the moved Stats View. Click the Stats View icon to toggle it; when active, the icon highlights so you can tell at a glance.

Workflow Notes (workflow-level)

What they're for

High-level context for the entire workflow — purpose, business rules, dependencies, anything a future editor needs to know before changing it. Visible to every user.

Who can add them

Admins.

How to add

  1. Open the workflow.
  2. Click the Notes icon in the sidebar.
  3. Add your notes describing the workflow, its goal, and any caveats.

Notes save automatically when you save the workflow. Each note tracks Created by, Edited by, Created on, and Edited on for audit transparency.

Action Notes (per-step, formerly Comments)

What they're for

Notes attached to individual actions inside a workflow — explaining why a specific step exists, what conditions trigger it, or known gotchas.

Who can add them

Every user with access to the workflow.

How to add

Hover over any action and click the notes icon in the action's top-right corner. Once a note is attached, the icon stays visible, so anyone editing the workflow knows there's context attached to that step.

History and central view

Each action note keeps an edit history, so you can see how the explanation evolved. All action notes also surface in the central Notes section, where you can search across the entire workflow.

Sticky Notes (visual reminders)

What they're for

Big, visible reminders pinned directly on the workflow canvas. Useful for warnings, onboarding hints, or color-coded grouping of related actions.

How to add

  1. Click the Sticky Notes icon in the sidebar.
  2. Pick a color.
  3. The note drops onto the canvas — drag it where it belongs.

Customization

  • Color coding: create different sticky note colors to group categories (warnings, TODOs, owner labels).
  • Rich text: bold, italics, lists — standard formatting.
  • Images: attach images directly to the sticky note for visual context.
  • Hide button: click Hide Notes to toggle sticky-note visibility when you want a clean canvas.

When to use which

  • Workflow Notes: overall purpose, who owns it, business context. Read once before editing.
  • Action Notes: step-specific reasoning. Read when touching that exact action.
  • Sticky Notes: visual signals — do-not-edit warnings, onboarding callouts, color-coded grouping.

Frequently Asked Questions

Who can add workflow-level notes?
Admins only. Workflow Notes apply to the whole flow and are visible to every user, so write access is restricted.
Who can add action notes?
Any user with access to the workflow. Action Notes attach to individual steps, so anyone editing the workflow can add context.
Can I see all notes in one place?
Yes. The central Notes section in the sidebar lists every action note across the workflow and supports search.
Are sticky notes user-specific?
No. Sticky Notes pin to the workflow itself and are visible to everyone. Use the Hide Notes button to toggle visibility for your own view.
What's the difference between action notes and sticky notes?
Action Notes attach to a specific action and stay tied to it. Sticky Notes float on the canvas and are meant for big-picture reminders or grouping. Use action notes for step-specific reasoning, sticky notes for visual signals.
