Set the Default Workflow Builder and Permissions in Sparkforge
Default Workflow Builder Settings let agency admins pick which builder (Standard or Advanced) opens for new workflows and which roles can switch a workflow's view inside the editor.
Default Workflow Builder Settings give agency admins two controls: which builder opens for new workflows, and which roles can toggle a workflow's view between Standard (list-style) and Advanced (drag-and-drop canvas).
Why It Helps
- Consistent experience: every new workflow opens in the builder your team expects.
- Gradual adoption: roll out Advanced Builder to power users first, then expand.
- Fewer support requests: permitted users switch views themselves.
- Protected builds: limit who can switch to Standard so Advanced-only logic is not removed accidentally.
- Centralized governance: one Global Workflow Settings page.
Default Builder Option
- Location: Automations → Global Workflow Settings (also reachable from the Settings tab inside any workflow).
- Choices: Standard Builder or Advanced Builder.
- Scope: applies only to workflows created after the setting is saved. Existing workflows keep their last-saved view.
- Visibility: the Global Workflow Settings panel is visible only to agency admins and agency users.
Builder Switch Permissions
- Control: choose which roles can change a workflow's view in the editor.
- Role options: Sub-account admins and Sub-account users. Agency users are enabled by default.
- Hidden toggle: users without permission do not see the Switch View control.
- Tip: keep switching limited to advanced builders and reviewers in sub-accounts where complex logic is common.
Workflow-Level View Override
Each workflow remembers its last-saved view, so individual workflows can be tuned without changing global settings. If a workflow contains Advanced-only items, switching to Standard may be blocked until those items are removed.
How to Configure
- Open Global Settings. From the left sidebar, click Automation, then Global Workflow Settings.
- Choose the default builder. Under Default builder for new workflows, pick Standard or Advanced. Existing workflows are not affected.
- Set switch access. Under Who can switch between builders, check the roles allowed to change a workflow's view. Users without permission will not see the toggle.
- Verify in the editor. Open any workflow and use the top-left builder selector. Confirm only permitted users see the Switch View toggle and that workflows open in the last-saved view.
Frequently Asked Questions
Will changing the default builder affect workflows I already built?
No. The default applies only to workflows created after the setting is saved. Existing workflows keep their last-saved view.
Why can't a user switch a workflow to Standard view?
That workflow likely contains Advanced-only nodes. Remove or replace them before switching to Standard.
Who can edit Global Workflow Settings?
Only agency admins and agency users. The settings panel is hidden from sub-account users.
Where is the per-workflow view toggle?
In the workflow editor, top-left builder selector. It appears only if your role has permission to switch views.
Can sub-account admins override agency settings?
They can change the view for an individual workflow if their role has permission. They cannot change the agency-wide default.
