The Appointment filter inside the If/Else workflow action lets you branch a workflow based on appointment-related conditions. You can route execution differently depending on whether an appointment was rescheduled or based on its start or end date.

What the Appointment filter does

Three conditions are available:

  • Rescheduled — true if the appointment was rescheduled during this workflow execution.
  • Start Date — branch on the appointment's start date.
  • End Date — branch on the appointment's end date.

When the filter is available

The Appointment filter only appears in If/Else when the workflow uses an appointment trigger:

  • Customer Booked Appointment — a new appointment is scheduled.
  • Appointment Status — an appointment status changes (no-show, cancelled, etc.).

Why use it

  • Send different follow-ups to customers who reschedule vs. customers who keep their original time.
  • Re-engage no-shows with a separate sequence.
  • Run time-sensitive promotions tied to the appointment start or end date.

Configure the filter step by step

  1. Open the workflow. Go to Automation and create a new workflow or open an existing one.
  2. Set the trigger. Pick Customer Booked Appointment or Appointment Status.
  3. Add an If/Else action. Click + to add an action and select If/Else Condition.
  4. Name the action as a question. The default is "Condition". Rename it to something like Did the customer reschedule? so the workflow reads cleanly later.
  5. Pick the Scenario Recipe. Choose Build Your Own for full control over the conditions.
  6. Name the branches. Replace generic labels with descriptive names — for example Rescheduled and Not Rescheduled, or Upcoming and Past.
  7. Select the Appointment option. The three filtering options appear: Rescheduled, Start Date, End Date.
  8. Add more branches. Use + Add Branch to handle additional cases.

Frequently Asked Questions

Why don't I see the Appointment option in my If/Else action?
The Appointment filter only shows up when the workflow is triggered by an appointment event — either Customer Booked Appointment or Appointment Status. Switch the trigger and the option appears.
Can I use Start Date and End Date in the same condition?
Yes. Add multiple branches inside the same If/Else action and pick a different filter on each one to handle upcoming vs. past appointments separately.
Does Rescheduled = True trigger every time an appointment is touched?
It only evaluates true when the current execution is reacting to a reschedule event. It will not flag unchanged appointments.
Can I send different SMS templates to no-shows vs. completed appointments?
Yes. Use Appointment Status as the trigger, branch on the status (no-show vs. completed), and add separate SMS actions on each branch.
Should I rename the If/Else action and branches?
Yes. Phrasing the action as a question (Did the customer reschedule?) and renaming the branches (Rescheduled / Not Rescheduled) makes the workflow readable when you come back later.
