How to Use Bulk Actions on the Sparkforge Workflows List

By Sparkforge Support Team ·Last reviewed May 3, 2026

Bulk Actions on the Sparkforge Workflows list page apply Move, Publish/Draft, Delete, or Manage Permissions to many workflows or folders at once. Use it to keep large workflow libraries organized without repetitive clicks.

Managing dozens or hundreds of workflows one at a time gets old fast. Bulk Actions let you select multiple items on the Workflows list page and run a single command across all of them.

What you can do in bulk

  • Publish/Draft — workflows only
  • Move — workflows or folders, including into nested folders
  • Delete — workflows or folders
  • Manage Permissions — folders only

How to use Bulk Actions

  1. Log into your sub-account.
  2. Go to Automations → Workflows.
  3. (Optional) Apply filters or open a smart list to narrow results.
  4. Use the item checkboxes to select either Folders or Workflows. You can't mix both in one selection.
  5. Use Select All to grab every visible item on the page.
  6. Open the Select All dropdown to switch between All Workflows, All Folders, Published Workflows, or Draft Workflows.
  7. From the bulk toolbar, choose your action.
  8. Review the confirmation dialog — it shows the affected count and any warnings — before applying.

Permissions and scope

  • Where it works: All Workflows view and any smart list you create.
  • Permissions: actions you can't perform are hidden or disabled.
  • Select All scope: targets visible items on the current page. With filters or smart lists, the selection reflects the filtered results.
  • Platform: built for the Workflows list page; behavior may shift on smaller viewports.

FAQ

Can I select Folders and Workflows together?

No. Pick one or the other in a single bulk action.

Why is Publish/Draft disabled?

Publish/Draft applies only to workflows. If your selection includes any folders, the option is unavailable.

Why doesn't Manage Permissions work on workflows?

Manage Permissions is folder-only. Deselect workflows to enable the action.

Will moving items change their permissions?

After moving, workflows inherit the structure and visibility of the destination folder.

Why don't I see the bulk toolbar?

The toolbar appears only after at least one item is selected. If you still don't see it, you may not have permission for bulk operations.

Frequently Asked Questions

Can I select folders and workflows together for a bulk action?
No. Bulk Actions require you to choose either folders or workflows, not both at once. Deselect one type to enable actions for the other.
Why is the Publish/Draft button grayed out?
Publish/Draft applies only to workflows. If your selection contains any folders, or only folders, the option is disabled until the selection is workflow-only.
Does Select All include items beyond the current page?
Select All targets visible items on the current page. Use filters, smart lists, or the Select All dropdown to refine the selection across types.
Will moving a workflow change its permissions?
After a move, workflows follow the structure and visibility of their new destination folder. Confirm the destination folder permissions before moving.
Why don't I see the bulk action toolbar?
The toolbar appears only after you select at least one item. If selecting items doesn't surface it, you likely don't have permission for bulk operations.
