Fix Missing Appointment Slots in Sparkforge Calendars

By Sparkforge Support Team ·Last reviewed May 3, 2026

Missing slots usually come from one of six things: wrong calendar selected, working hours not set, no assigned team member, bad slot interval/duration, external calendar conflict, or timezone mismatch. Use the Troubleshooting tool to see exactly which rule is blocking a slot.

If appointment slots are missing, unavailable, or showing up at unexpected times, the cause is almost always a configuration mismatch between availability rules, slot capacity, and timezone. This guide walks through every common cause and the built-in tool that pinpoints which rule is blocking a slot.

What controls slot visibility

  • Calendar configuration settings
  • Assigned team members
  • Slot duration and interval setup
  • Buffer times
  • External calendar conflicts
  • Timezone alignment
  • Slot capacity (for calendars allowing multiple appointments per slot)

Calendar configuration checks

Confirm you are editing the correct calendar

  1. Go to Calendars → Calendar Settings.
  2. Find the calendar and click the Edit (pencil) icon.
  3. Verify Calendar Name, Calendar Type, and Calendar Group match what you intended.

Verify working hours and date overrides

Inside the calendar editor, open the Availability tab and confirm:

  • Weekly hours are set correctly.
  • No date-specific overrides are blocking availability.

If recurring meetings are enabled, date-specific hours may not apply.

Confirm assigned team members

Availability depends on assigned users. Under Service Details, confirm at least one team member is selected. With nobody assigned, no slots appear.

Slot duration, interval, and buffer settings

On the Availability tab, review:

  • Service interval
  • Service duration
  • Post buffer time

Bad combinations of interval and duration can create unexpected gaps or eliminate slots entirely. If duration is longer than interval, slots collide; if buffer is too aggressive, slots get pushed past your working hours.

Multiple appointments per slot and capacity

If your calendar allows multiple appointments per slot — Event or Class calendars, for example — slot visibility depends on capacity:

  • Each confirmed appointment reduces slot capacity by 1.
  • If an appointment overlaps multiple slots, every affected slot's capacity is reduced by 1.
  • A slot is blocked only when its defined capacity limit is fully reached.
  • Overlapping appointments no longer block all affected slots prematurely.

If a slot is missing, check whether its maximum appointment limit has already been reached.

External calendar conflicts

Connected Google or Outlook calendars block availability when an event is marked Busy. External conflicts override internal availability — review the synced calendar and confirm event statuses.

Timezone alignment

Timezone mismatches cause slots to appear at wrong times or disappear entirely. Verify:

  • The user profile timezone
  • The calendar viewing timezone
  • The client-facing timezone display

A slot available in one timezone may fall outside working hours in another.

Using the built-in Troubleshooting tool

The fastest way to pinpoint the cause:

  1. Go to Calendar Settings.
  2. Find the calendar.
  3. Click the Troubleshoot (wrench) icon.

The tool shows capacity rules, buffer logic, timezone checks, user assignment rules, and external conflicts in one view. Use it before opening a support ticket — it usually reveals exactly which rule is blocking the slot.

Frequently Asked Questions

Why does a team member show available but is not getting booked?
Round Robin logic, availability priority, or user assignment configuration may prevent the booking. Open the Troubleshooting tool to see which rule is firing.
Why are booking slots not aligning with my working hours?
Check slot interval, duration, post buffer settings, and external calendar conflicts. Any one of these can shift or eliminate slots.
Do overlapping appointments block entire slots?
No. Overlapping appointments reduce slot capacity by 1 each. A slot is only blocked when its full capacity limit is reached.
Why do slots show differently across devices or browsers?
Browser cache or timezone mismatches between devices. Clear cache and confirm the user profile, calendar, and client-facing timezones all match.
Can clients pick a preferred team member?
Yes. Enable staff selection in the calendar settings for Round Robin calendars.
What does the Troubleshooting tool show?
Every rule affecting slot visibility — capacity limits, buffer times, timezone logic, user assignment, and external conflicts.
