How to Create and Edit Listings in Sparkforge Rentals
Sparkforge Rentals listings cover everything from quick name and price entry to advanced pricing, variants, booking modes, and iCal sync. Build the basics first, then activate once everything is configured.
Listings are the foundation of Sparkforge Rentals. Each listing represents one rentable item — a property, vehicle, room, or piece of equipment — and carries its own pricing, duration rules, and stock. Create the basics in the New Listing modal and refine the rest in the four-tab editor.
Create a New Listing
Step 1: Navigate to Listings
Go to Calendars → Calendar Settings → Rentals → Listings.
Step 2: Open the New Listing Modal
Click + New Listing in the top-right corner.
Step 3: Fill Out Basic Details
- Listing Image: Upload or drag and drop photos. These show on the booking page.
- Listing Name (required): The title customers see (e.g., "Luxury Villa", "Compact SUV").
- Description: A short summary of features and what's included.
- Base Price & Booking Unit: Cost per time unit (e.g., $50/hour).
- Category: Group the listing.
- Status: Active (visible on booking page) or Inactive (hidden).
Keep the listing inactive until setup is finished so customers don't book before you're ready.
Step 4: Open Advanced Settings
Click Advanced Settings at the bottom to access the four-tab editor: General Information, Inventory & Pricing, Booking Settings, and Calendar Sync.
Edit a Listing
- Go to Calendars → Calendar Settings → Rentals → Listings.
- Click the pencil icon next to the listing.
- Use the four tabs to edit details.
General Information Tab
- Listing Image: Add or replace images to build a gallery.
- Listing Name: Update the title for admin and customer views.
- Description: Edit the rental details and highlights.
- Category: Reassign if needed.
- Status: Toggle Active or Inactive.
- Listing Specific Form: Toggle on to collect extra info when this specific listing is booked. Skipped automatically when multiple listings are added to the cart.
Inventory & Pricing Tab
Inventory
- Toggle Inventory on to manage stock counts. Off means the listing is treated as one bookable unit.
- Stock: Total available units.
Variants
Variants let you offer different versions of one listing (e.g., multiple car types or room categories). When variants are on, the Booking Unit (Hour, Day, Week, Month) applies across all variants.
To add a variant: toggle Variants on, click + New, fill in Variant Name, Stock (if inventory is on), Base Price, and optional Security Deposit. Click Confirm.
Inventory and pricing are tracked per variant when enabled. Example: a camera shop lists "Canon EOS R5 — Body Only" at $70/day and "Canon EOS R5 — With Lens" at $90/day.
Pricing
Base Price is the standard rate before adjustments. Advanced options:
- Seasonal Pricing: Adjust rates for date ranges (e.g., +20% during holidays).
- Day of Week Pricing: Different rates for weekdays vs. weekends.
- Hour of Day Pricing: Different hourly rates by time of day (hourly listings only).
- Duration Discounts: Reductions for longer bookings (e.g., 10% off after 7 days).
- Quantity Discounts: Discounts on bulk bookings (e.g., 15% off for 5+ units).
Booking Settings Tab
Booking Period Modes
- Date & Time Selector: Customers pick start and end date plus time. Best for hourly rentals. Duration is the exact difference between start and end.
- Date Selector: Customers pick dates only. Sparkforge applies your configured Rental Start Time and Rental End Time. Hourly pricing is not supported in this mode.
- Fixed Durations: Customers book predefined lengths (2 hours, 1 day, 1 week, 1 month).
Rental Start and End Time
If Rental End Time is later than Rental Start Time, the booking is day-based. Same start and end date charges as 1 day. Example: 11 AM start, 5 PM end.
If Rental End Time is earlier than Rental Start Time, the booking is night-based. Two consecutive dates charge as 1 night. Example: 3 PM start, 11 AM end.
Monthly Time Rules
For monthly rentals, Rental End Time must not be later than Rental Start Time so the booking represents a clean calendar month. End date matches the same calendar date in the next month — or the last valid day if the date doesn't exist (e.g., the 31st).
Additional Fields
- Minimum Duration / Maximum Duration: The shortest and longest allowed booking.
- Pre/Post Buffer Time: Setup or cleaning time before and after each booking.
- Minimum Scheduling Notice: How far in advance customers must book.
- Maximum Advance Booking Window: The furthest date customers can book ahead.
Calendar Sync Tab
- Import Calendar: Add iCal URLs (.ics) from third-party platforms. Imported bookings appear as blocked slots.
- Export Calendar: Copy your unique iCal link to share availability with external systems.
- Sync Frequency: External bookings import automatically every hour. Use Refresh for a manual re-sync.
If variants are enabled, imported bookings block all variants. If inventory is enabled, the entire stock is blocked for the imported booking window.
Save and Publish
- Click Save Changes in the top-right.
- Click View Booking Page to preview the listing.
- Activate the listing when it's ready to go live.
