How to Use the Note Changed Workflow Trigger in Sparkforge
The Note Changed trigger fires whenever a note on a contact record is edited. Use tag filters to target specific contacts and chain follow-up actions like task assignment or reminders.
The Note Changed trigger fires every time someone updates a note on a contact record. Pair it with tag filters to keep automations targeted and avoid firing on every edit.
What the Note Changed trigger does
It activates when a note inside a contact record is updated. Use it to keep CRM data in sync, route follow-ups, or assign tasks the moment context changes on a contact.
Configure the trigger
- Open Automation and create or edit a workflow.
- Add a trigger and pick Note Changed under the Contact section.
- Name the trigger so it reads clearly in execution logs.
- Add filters:
Has TagorDoesn’t Have Tagto scope which contacts qualify. - Save the trigger and connect it to your downstream actions.
- Test with sample data, then toggle Publish on.
Use cases
Support task routing
An agent appends notes to a contact tagged High Priority. The workflow assigns the task to a senior specialist and pings them in chat.
Membership renewals
A note update on a contact tagged Member triggers a personalized renewal email through the email builder.
Filter behavior
- Has Tag: only fires for contacts carrying the named tag.
- Doesn’t Have Tag: fires only for contacts missing that tag.
- Combine with other triggers (Tag Added, Task Completed) for layered logic.
Limitations
The trigger fires on note edits, not deletions. To prevent overlapping runs on rapid edits, add wait steps or condition gates inside the workflow.
