How to Set Up the Birthday Reminder Workflow Trigger

By Sparkforge Support Team ·Last reviewed May 3, 2026

The Birthday Reminder trigger fires daily at 8 AM in your account time zone for any contact whose birthday matches today. Filters let you fire before, after, or on a specific day or month.

The Birthday Reminder trigger watches your contacts' birth dates and starts a workflow when there's a match. Use it to send greetings, birthday-month offers, or post-birthday follow-ups without tracking dates by hand.

How it runs

Once a day at 8 AM in your account time zone, Sparkforge scans every contact for a birthday matching the current date. Each match enrolls the contact in the workflow. Filters and time delays let you shift this to before, after, or on a different schedule entirely.

Set up the trigger

  1. Go to Automation and click + Create Workflow. Pick Start from Scratch or open an existing workflow.
  2. Click Add New Trigger and select Birthday Reminder.
  3. Add filters to control timing (see below).
  4. Build out actions — email, SMS, internal notification, tag updates.
  5. Save and publish.

Available filters

  • After Number of Days — fire X days after the birthday. Good for follow-up offers.
  • Before Number of Days — fire X days before the birthday. Good for pre-birthday discounts.
  • Day Is — fire on a specific day of the month regardless of the actual birthday. Good for monthly batch sends.
  • Month Is — fire only for contacts whose birth month matches. Good for month-long offers.

Combine with tags for VIP segments

Add a tag filter inside the workflow (or as a wait condition) to limit messaging to specific segments — VIPs, top spenders, recent customers — instead of every contact with a birth date on file.

Frequently Asked Questions

Can I send the message a few days before the birthday?
Yes. Use the Before Number of Days filter and set the offset, e.g., 3 days before. Combine with a Day Is filter for batch campaigns.
What happens if a contact's birthdate is missing?
They're skipped. The trigger only fires for contacts with a valid birthdate. Run a quick CRM cleanup to backfill missing birth dates if you want full coverage.
Can I limit messaging to VIP customers only?
Yes. Add a tag filter (e.g., VIP) inside the workflow so only contacts matching the tag move past the entry step.
How do I keep these messages compliant?
Make sure contacts opted in to marketing, include opt-out language in your SMS and email, and store consent records. Sparkforge's compliance settings handle the unsubscribe footer automatically.
What if multiple contacts have the same birthday?
Every matching contact is enrolled at the 8 AM scan. There's no per-day cap — the workflow processes them all.
