Note Added Workflow Trigger in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

The Note Added trigger runs a workflow every time a new note is attached to a contact. Use Has Tag and Doesn't Have Tag filters to scope which contacts qualify.

The Note Added trigger fires a workflow whenever a new note is attached to a contact's record. Use it to alert the right teammate, tag the contact, or kick off a follow-up sequence based on what got logged.

What the trigger does

When anyone adds a note to a contact's profile, the trigger evaluates the contact against any tag filters and starts the workflow. It runs once per note added, so rapid-fire notes will fire the workflow multiple times unless you add cooldowns or conditions.

Why use it

  • Real-time alerts — notify a manager the moment a note lands on a VIP record.
  • Better collaboration — share updates across the team without anyone having to re-check the record.
  • Automated follow-up — create tasks or reminders tied to note context.
  • Tag-based routing — auto-tag contacts so reporting and segmentation stay clean.

Configure the trigger

  1. Open Workflows — go to the workflow automation area. Create a new workflow or open an existing one.
  2. Add the trigger — click + Add New Trigger and pick Note Added.
  3. Name it — give it a descriptive label like VIP Note Added Trigger.
  4. Set filters — optional. Use Has Tag to require a tag, or Doesn't Have Tag to exclude tagged contacts.
  5. Save — confirm the trigger is saved.
  6. Test and publish — run a sample note through, then flip the Publish toggle.

Use cases

Support escalation

Tag contacts as High Priority. When a support agent logs a note, the workflow assigns the issue to a senior agent and pings them.

Event follow-up

Tag attendees with Event Attendee. Notes added after the event fire personalized follow-up emails and update the attendee profile.

Upsell signals

Tag repeat customers as Frequent Buyer. When notes about product preferences land on those records, the workflow sends a recommendation email.

Frequently Asked Questions

Does the trigger fire for every single note, even rapid-fire ones?
Yes — each note added fires the trigger. Add workflow conditions or cooldowns if you want to throttle redundant actions.
How do Has Tag and Doesn't Have Tag filters work?
Has Tag only fires the workflow if the contact carries the named tag. Doesn't Have Tag fires only when the contact lacks it. Use them to scope which contacts the trigger watches.
Can I read the note content inside the workflow?
Note body is not exposed as a workflow variable, so route on contact tags or follow-up actions rather than parsing note text.
Does the trigger fire on note edits?
No — Note Added only fires on creation. Use Note Changed for edits to existing notes.
