Use the Task Completed Workflow Trigger in Sparkforge
The Task Completed trigger fires a workflow whenever a CRM task is marked complete. Add it under Automation, optionally filter by Assigned User, then chain actions like notifications, record updates, or pipeline moves.
The Task Completed trigger runs a workflow as soon as a task is marked complete in the CRM. Use it to send follow-up notifications, advance opportunities, and keep records in sync without manual handoffs.
What you can do with it
- Auto-run follow-ups when a task closes.
- Notify the rest of the team about a completed task.
- Move opportunities forward or update fields without manual clicks.
- Filter by who completed the task.
Add the trigger
- Go to Automation in the dashboard.
- Click + Create Workflow, then Start from Scratch (or open an existing workflow).
- Click + Add New Trigger and search for Task Completed.
Filter by Assigned User
The Assigned User filter narrows the trigger to specific team members. After picking the trigger, choose an operator:
- Is — fire only when the selected user completes the task.
- Is Empty — fire only for tasks with no assigned user.
- Is Not — fire for everyone except the selected user.
- Is Not Empty — fire whenever a task has an assigned user.
Pick the user(s) from the dropdown of CRM users. With no filter, the workflow fires for any user.
Chain workflow actions
- Send Notification — alert team members about the completed task.
- Update CRM Record — change contact or opportunity fields.
- Move Opportunity — advance a linked deal to the next pipeline stage.
- Trigger Another Workflow — fan out into a separate automation.
Verify the trigger is firing as expected from the Workflow Execution Log.
Frequently Asked Questions
Can I fire the workflow only for tasks completed by specific users?
Yes. Use the Assigned User filter with the Is operator and pick the team members.
What happens if the task has no assigned user?
Use the Is Empty operator to limit the workflow to unassigned tasks.
Does the trigger send notifications by itself?
No. Add a Send Notification action after the trigger to alert team members.
Can a completed task move an opportunity forward?
Yes. Add a Move Opportunity action to advance the linked pipeline stage automatically.
How do I confirm the workflow is firing?
Check the Workflow Execution Log to see if the trigger is hitting and which actions ran.
