Order Submitted vs Order Form Submission Triggers in Sparkforge

By Sparkforge Support Team ·Last reviewed May 3, 2026

Order Submitted runs when a paid transaction completes. Order Form Submission runs when a customer submits an order form, with or without payment. Use them at different stages of your funnel.

Sparkforge has two related workflow triggers under Payments in the Workflow Builder: Order Submitted and Order Form Submission. The difference is whether payment was actually taken.

Where to find them

Open the Workflow Builder, add a trigger, and look in the Payments category. Both triggers live there.

Trigger: Order Submitted

Fires when an order payment or transaction lands in your account — for example, when someone buys a product and the payment processes.

When to use it

  • Send an order confirmation email after purchase.
  • Create or update CRM records tied to the buyer.
  • Kick off shipping, fulfillment, or onboarding sequences.
  • Send SMS receipts or thank-you messages.

Trigger: Order Form Submission

Fires when a customer submits a form that contains order details, regardless of whether payment was completed. The trigger is about the form submission, not the transaction.

When to use it

  • Lead capture on RFQ or pre-order forms.
  • Notify a sales rep that someone filled out an order form.
  • Run nurture sequences to push the prospect toward checkout.

Available values

Order-specific values (line items, totals, order ID) are only exposed in the workflow when Order Submitted is the trigger. The Shopping Cart element in the Email Template builder auto-populates with item details from the order in that case.

If both a form submission and a payment occur, both triggers can fire — useful for splitting follow-up between abandoned-form and completed-purchase paths.

Frequently Asked Questions

Can both triggers fire on the same order?
Yes. If a customer submits an order form and then pays, the Order Form Submission trigger fires on submit and the Order Submitted trigger fires when payment completes.
Which trigger should I use for an order confirmation email?
Order Submitted. The trigger has access to line items, totals, and the populated Shopping Cart element for receipt-style emails.
Can I use Order Form Submission for an unpaid quote?
Yes. That is the typical use case — capture the lead's order intent, route to a sales rep, and run a follow-up sequence to close the sale.
Why don't I see order line items in my workflow?
Order values are only available when the workflow uses Order Submitted as its trigger. Order Form Submission does not expose them.
