The Stale Opportunities trigger fires when an opportunity has sat in the same pipeline stage longer than a duration you configure. Use it to send reminders, notify managers, or auto-route deals before they go cold.

The Stale Opportunities trigger fires when an opportunity has sat in the same pipeline stage longer than a duration you set. Use it to keep deals from rotting in your pipeline.

What it does

For example, if an opportunity stays in Negotiation for 5 days without progress, this trigger can send a follow-up email, alert a manager, or reassign the deal automatically.

Why it matters

  • Proactive pipeline management — stagnation gets surfaced and addressed.
  • Faster response time — reps get nudged before deals die.
  • Manager visibility — leads see neglected opportunities without manually auditing the pipeline.
  • Less manual tracking — no more spreadsheets of "who hasn't followed up".
  • Configurable — duration, pipeline, and stage are all controllable per trigger.

How to set it up

  1. Go to Automation > Workflows.
  2. Click + Create Workflow > Start from scratch.
  3. Click + Add new Trigger and pick Stale Opportunities.
  4. Name the trigger (for example, "Stale Opportunity Follow-Up").
  5. Click Add Filters and configure:
    • Duration in Days — how long an opportunity can sit before counting as stale.
    • In Pipeline — the pipeline this trigger applies to.
    • Pipeline Stage — the specific stage to watch.
  6. Click Save Trigger.
  7. Add the actions you want (email, notification, stage move, enroll in another workflow).
  8. Click Save, then Test Workflow, then publish.

Save at every step

Sparkforge does not auto-save workflow changes. If you do not click Save on the trigger and on the workflow itself, your changes stay as a draft and the trigger never fires.

Example configuration

Trigger: Stale Opportunities, named "Stale Opportunities Follow-Up".

Filters:

  • Duration in days: 2
  • In pipeline: Sales Pipeline
  • Pipeline stage: Negotiation

Action: send reminder email to the assigned rep

From Name: Your Company
From Email: yourcompany@example.com
Subject: Reminder: Stale Opportunity Needs Attention

Hi {{opportunity.assigned_user}},

The opportunity "{{opportunity.name}}" in the {{pipeline.name}} pipeline
has been inactive for {{duration}} days.

Please take action to move it forward or update its status.

— Your Company

Action: notify the manager

An opportunity in the {{pipeline.name}} pipeline has gone stale.
Details: {{opportunity.details}}

Optional: move the opportunity to a "Review Required" stage for manual triage.

Use cases

  • Re-engage stalled deals — send follow-ups to opportunities idle in Negotiation for 5+ days.
  • Sales rep accountability — alert reps automatically when their deals go cold.
  • Manager escalation — notify leadership on high-value deals that have stalled.
  • Pipeline hygiene — auto-move stale opportunities to a review stage.

Frequently Asked Questions

How do I pick the right Duration in Days?
It depends on your sales cycle. Short cycles (e-commerce, low-ticket services) may justify 2-3 days. Longer cycles (B2B, enterprise) typically use 7-10 days or more.
Can I limit the trigger to specific stages?
Yes. Set the Pipeline Stage filter to the stage you want to monitor. The trigger will ignore opportunities in other stages.
How do I avoid false positives when reps are actively working a deal?
Add filters or conditions inside the workflow to exclude opportunities with recent activity — notes, email replies, logged calls. Sparkforge tracks activity timestamps you can reference.
Will the trigger re-fire if the same opportunity goes stale again?
Yes. Once the opportunity moves to a new stage or is updated, the timer resets. If it goes stale again under your configured criteria, the workflow runs again.
